Our purpose is to connect our alumni, friends, corporations, and foundations to raise the financial support necessary to advance the University’s mission and vision. With one of the leading development teams in the country, the Division most recently reached its $1 billion fundraising campaign goal 19 months ahead of schedule.
The CSU Alumni Associationis part of the Division of University Advancement and facilitates meaningful relationships between its 265,000 living alumni and the University. Using a combination of proven alumni engagement strategies and new, innovative approaches, the Alumni Association strives to celebrate the success of our alumni, build an emotional connection back to the CSU , and help alumni to identify connections that are meaningful to them. In addition, the Association also utilizes the Iris & Michael Smith Alumni Center to serve as a place of pride and home base for alumni when they return to campus as well as a gathering space for alumni and student programs and events.
Position Summary
The Alumni Guest Relations and Venue Manageris responsible for managing all aspects of the Iris and Michael Smith Alumni Center. This position will be responsible for ensuring positive guest experiences for alumni, members, donors, students, and friends who visit the Smith Alumni Center and take advantage of its services; coordinating the interactive displays and storytelling features; and negotiating venue rental sales and facilitating logistics of meeting and event spaces. They will build positive relationships with internal and external partners and create and manage meaningful opportunities for alumni to strengthen their relationship with CSU . This position will execute a comprehensive guest relations strategy as well as manage the sales and scheduling of events in the Smith Alumni Center. In addition, they will support marketing and activation efforts related to Alumni business partners.
Eligible candidates will be committed to equity and inclusion, incorporating it into their role to contribute to inclusive excellence and to ensure colleagues and alumni, members, donors, and students of all backgrounds feel represented and included. This position reports to the Senior Director of Alumni Operations.
This position will manage a $100,000 budget and be responsible for securing a minimum of $35,000 in event rental revenue annually.
The ideal candidate for this position will be a consummate professional and will thrive in a fast-paced, metrics and results-driven environment. The candidate will have a demonstrated ability to work collaboratively with members, donors, prospects, alumni, colleagues, staff, and students. Eligible candidates will understand how they can make a difference in supporting the future direction of CSU , its alumni, and students.
Required Job Qualifications
+ Bachelor’s degree from an accredited university by employment start date
+ Two years’ experience in a customer-facing, project, or event management role, including internship and part time experience
+ Demonstrated ability to engage and effectively communicate with diverse audiences and alumni
+ Ability to frequently lift up to 25 lbs. to complete event set up tasks such as moving furniture, staging, and AV equipment, with or without assistance.
+ Ability to work non-standard hours, including early mornings, evenings, and weekends
+ Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date

+ Experience supervising student staff

Duty/Responsibility
+ Direct, manage, and continually improve the Alumni Center guest experience. Includes oversight of visitor desk, hiring/training guest relations team, ensuring all information disseminated is correct and up-to-date, and providing excellent customer service.
+ Well-versed in telling the story of CSU , the Alumni Association, and of all alumni and friends featured in the Smith Alumni Center.
+ Ensure all Smith Alumni Center displays and technology are fully operational, this includes troubleshooting technology, collaborating with the Communications team regarding updates, and recommending improvements to meet Association goals and objectives.
+ Actively participate in growing membership, license plate sales, sponsorship, and revenue partnerships. All Alumni Association employees share a responsibility to meet and surpass Association revenue goals.
+ Use cultural competency and inclusive excellence to develop successful relationships with partners, donors, and alumni of various identities. Consider how all populations feel represented through various engagement efforts.
+ Actively improves on the inclusivity of the Smith Alumni Center, ensuring that the space is welcoming to guests of all backgrounds and thinks about how all alumni are represented in both regular operating hours and during events and programs.
+ Work with the Manager of Business Partnerships to assist with supporting marketing, fulfillment and activation needs for Alumni business partners.

Duty/Responsibility
+ Develop and execute a comprehensive plan to ensure that the Smith Alumni Center is being utilized to its maximum potential while supporting the goals and meeting the metrics for the Alumni Association.
+ Manage Smith Alumni Center meeting/event space by facilitating sales, negotiating and approving space reservations, confirming event details, coordinating room set-up and strike needs, communicating event details to appropriate staff/partners, post-event follow-up, and invoicing.
+ Create and maintain a reference guide for clients including diagrams of event spaces, facility use guidelines, costs, food/beverage options, video/equipment needs, approved vendors, etc.
+ Collaborate with campus and external service providers involved in execution of events.
+ Supervise event set-up and technology student staff; includes directing overall event set-up to ensure that events are executed per client’s request.
+ Prepare and present monthly sales/usage reports.
+ Serve as a visionary for long and short-term objectives related to space and facility needs, coordinate space, furniture, and equipment maintenance; and recommend staffing, etc.
+ Develop successful relationships with partners of all backgrounds and create a great experience for those utilizing the venue.

+ Assist the Senior Director of Alumni Operations on key projects
+ Manage guest relations and event services budgets and comply with university financial policies. Recommend opportunities to maximize expenditures, increase revenue, and propose how funds are directed.
+ Serve as Alumni Association representative and liaison to university committees.
+ Exercise initiative, sound judgment, creativity and discretion in performing work assigned, anticipating and addressing concerns, responding to requests for information, and organizing and maintaining confidential files and records
