    GME Credentialing Specialist

    Job Summary

    The Graduate Medical Education (GME) Office provides oversight for ongoing compliance with institutional and program-level accreditation and physician education requirements for the provision of graduate medical education at Michigan Medicine. The GME Office is recruiting a GME Credentialing Specialist to manage the credentialing of incoming House Officers, Special Purpose Trainees (visiting residents), and Advanced Postgraduate Trainees as well as perform critical administrative duties related to House Officer appointments. This position will report to the GME Administrative Manager.

    Responsibilities*

    Duties include but are not limited to:

    Collaboratively work with peer GME Credentialing Specialists in the execution of the below responsibilities:

    Credentialing Specialist for House Officers (HOs), Special Purpose Trainees (SPTs) and Advanced Postgraduate Trainee (APTs):

    + Manage, coordinate and process HO, SPT and APT credentialing packets and supporting credentialing materials;

    + Accurately enter and maintain applicant data in the residency management system, MedHub;

    + Distribute electronic credentialing applications;

    + Critically review credentialing documentation to ensure it has been completed as required, meets policy standards and identify any concerns for resolution or to be brought forward to GME leadership and the Credentialing Committee;

    + Accurately track documentation completion and notes in MedHub;

    + Monitor credentialing process and provide superior customer service to Program Administrators, and other internal/external stakeholders;

    + Initiate primary source verification of education, training and prerequisite information necessary for approval by GME leadership, the Credentialing Committee, and Executive Committee on Clinical Affairs (ECCA);

    + Initiate and monitor background checks and drug screenings for applicants;

    + Analyze primary source, background check and drug screen reports for meeting policy standards and identify any concerns for resolution or to be brought forward to GME leadership and the Credentialing Committee;

    + Represent GME at Credentialing Committee meetings for application review and approval and present applications as needed;

    + Submit applications to the Executive Committee on Clinical Affairs (ECCA) for review and approval;

     

    Primary contact for Program Administrator questions and resolving issues related to credentialing and leave of absences, as well as keeping Program Administrators appraised of current and new requirements.

     

    Trains new Program Administrators on current credentialing processes through presenting at annual GME Program Administration Education Series sessions and individual meetings. Assists with the development of resources.

     

    Maintain house officer information within GME?s residency management system, MedHub, to ensure compliance with Intern and Resident Information System (IRIS) and Joint Commission standards.

     

    Critically evaluates credentialing process, identifying policy and/or process improvement for GME, Program Administrators and/or the applicants.

    This GME Credentialing Specialist will have shared responsibility for the processing of House Officer Leave of Absences (LOA):

    + Manage and approve house officer LOAs according to GME, Michigan Medicine, and UM|HOA Contract guidelines;

    + Resolve complex LOA issues through consultation with appropriate department(s) (HR Labor Relations, Work Connections and/or the HR Solutions Center);

    + Collect and critically analyze LOA documentation for complete and accurate information;

    + Review data entered into MedHub for completion and accuracy;

    + Apprise the Associate Dean for GME and/or GME Administrative Manager of LOA issues;

    + Maintain record of house officer LOA information;

    + Critically analyzes workflow, identifying policy and/or process improvement for GME, training programs and/or the house officers.

    As needed, the GME Credentialing Specialist provides back-up support to their colleagues:

    + Continuous monitoring of compliance with appointment requirements (licensure, life support training, visas) for all trainees appointed through the GME Office;

    + Monitors and analyzes house officer Clinical and Educational Work Hours;

    + Prepares and submits TQCVL documents with lists following VA requirements.

    Required Qualifications*

    + Bachelor's degree or equivalent combination of education and experience.

    + At least 3-8 years of administrative experience.

    + Proven ability to critically think by processing and organizing facts, data and other information in accordance with requirements, policies and procedures in order to define a problem and develop effective solutions.

    + Demonstrated ability to think autonomously and escalate issues as needed.

    + Demonstrated ability to make independent decisions to determine appropriate course of action within the context of policies and standards.

    + Demonstrated ability to analyze, compare and evaluate various courses of action within scope of the role.

    + Proven ability to prioritize, meet deadlines and produce detailed and accurate work.

    + Proven ability to a proactive approach to all responsibilities.

    + Demonstrated ability to work independently and establish priorities yet function as an integral part of a highly productive team.

    + Excellent verbal, interpersonal, and organizational skills with a strong customer focus.

    + Excellent written and oral skills.

    + Ability to professionally represent the GME Office within the University and to external organizations.

    + Proven ability to assess and handle highly sensitive and confidential matters.

    + Excellent computer skills including MS Word and Excel involving complex spreadsheets and advanced Excel functions.

    + Must be dependable with a history of excellent attendance.

    Desired Qualifications*

    + Previous experience in an academic environment, preferably medical education.

    + Proficiency and experience using residency management software.

    + Reasonable knowledge of University policies and procedures.

     

    Work Schedule

     

    Monday-Friday; 7:30a-4:30p

     

    Modes of Work

     

    Onsite, hybrid (office location = Ann Arbor) or remote available

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
