    Responsibilities:

    This leadership role supports the Chair and Program Administrator by providing comprehensive administrative and managerial oversight for all operations within the Department of Anesthesiology, This leadership role supports the Chair and Program Administrator by providing comprehensive administrative and managerial oversight for all operations within the Department of Anesthesiology, on a regional level including administrative support, faculty affairs, compensation, and academic programming. The position is responsible for planning, coordinating, and executing all facets of administrative, fiscal, and human resource functions for a large academic department with over 400 faculty, staff, trainees, and advanced practice providers across 15 locations state wide. This includes managing faculty lifecycle processes—such as recruitment, promotion, tenure, retention, salary review, relocation, and early retirement programs—while ensuring compliance with federal and state employment regulations. This role acts as the primary liaison with institutional offices such as Academic Affairs and the Provost’s office, representing faculty affairs in decision-making on process improvements, system implementations, and data management. In collaboration with departmental leadership, division chiefs, finance and research directors, hospital leadership, and other institutional stakeholders to develop and execute strategic initiatives supporting the department’s missions. The incumbent manages subordinate supervisors and staff by recruiting, hiring, coaching, training, mentoring, counseling, and when necessary, disciplining employees to ensure operational effectiveness and professional growth. The administrator leads faculty recruitment from search committee formation through offer negotiation and onboarding, addressing dual career and relocation considerations to facilitate successful hires. Overall, this role is integral to sustaining the department’s academic and operational excellence through strategic leadership, human resource management, and effective collaboration across multiple levels of the organization.

    Faculty Affairs Administration

    + Establish, uphold, and ensure the Department of Anesthesiology's regional compliance with university policies and procedures.

    + Serves as the advisor to Department and Faculty leadership for faculty related matters.

    + Works closely with leadership to track faculty onboarding, development, offer letters and benefits.

    + Acts as a resource for leadership related to faculty matters.

    + Represents Department in University groups and committees related to faculty data and faculty affairs.

    + Manages new faculty hires and faculty status changes on a regional level for all types of appointments, posts positions in conjunction with department stakeholders and informs appropriate offices within the school to ensure new faculty onboarding is successful.

    + Advise faculty on departmental compensation model and salary components related to their contractual obligations.

    + Prepares offer letters for CRNAs, annual faculty compensation letters, and chair letters for faculty status changes.

    + Advise and consult faculty and department administrators on all aspects of personnel administration, including supervision, performance evaluation, compensation, progressive discipline, termination, involving Department HR Business Partner when appropriate and serves as an HR liaison between HR and the faculty and staff.

    + Advise and direct faculty and staff in areas such as payroll administration, scheduling, forms preparation, University policies and procedures, etc.

    + Verify, evaluate, and process Department of Anesthesiology onboarding and Benefit processes.

    + Evaluate changes in staff job responsibilities, develop and write position descriptions, prepare requests for new positions and job reclassifications involving Department HR Business partner when appropriate.

    + Participate in the interviewing and hiring process of non-clinical staff; check professional references of final candidates, and coordinate job offer with HR representative.

    + Participate in strategic planning activities for support staff and operational needs.

    + Department representative for visa and immigration issues; works with foreign nationals, immigration attorneys, and ISO representatives; gathers required documentation, prepares department paperwork for visas and visa extensions.

    Fiscal Administration

    + Oversees the processing of $1,000,000+ of the departments faculty compensation expense monthly.

    + Responsible for the administration of complex compensation models across research, clinical, and administrative accounts, which support institutional initiatives for the recruitment and retention of clinical and research faculty.

    + Evaluate faculty and staff compensation levels to ensure equity and budget adherence.

    + Manage the annual wage and salary program for the department.

    + Manage monthly incentive and extra compensation payment program for the department faculty, gather information, verify that payments are accurate and in accordance with the approved compensation models and/or University policies.

    + Review and manage the preparation of monthly unit reports and quarterly volume and conversion factor adjustments for clinical practice faculty.

    + Facilitate the process for the review of discrepancies and corrections in unit reports with Billing Office staff and physicians and make quarterly adjustments.

    + Track and compensate faculty for clinical work done at regional hospitals and send providers quarterly reports.

    + Reconcile monthly cumulative salary ledgers, researching and correcting any errors.

    + Assist Department Finance team with annual budget process.

    + Maintain and update as required Physician Extra Compensation Model for Department; gather salary information and various demographic data for ad hoc reports and for surveys such as SAAA and AAMC.

    + Perform ad-hoc financial reporting for the university financial department.

    + Makes recommendations and advises leadership regarding cost containment and expansion opportunities.

    + Keeps abreast of trends and policies and adapts changes into planning, control and analytical processes.

    Operations and Project Management

    + Develop methods and collect information to manage various departmental and institutional projects.

    + Oversee projects, such as space management, renovation projects, provider credentialing and enrollment, payroll, and new system initiatives within the department, school, or hospital.

    + Review work of other staff members.

    + Prepare and analyze reports and make recommendations for project progress through completion.

    + Work with Central Administration, attend related meetings, and serve on committees to facilitate the smooth flow of systems that support operations.

    + Approve account expenditures and fund transfers.

    + Routinely meet with Departmental Program Administrator to discuss operational and institutional issues and projects to be completed.

    + Direct these activities and supervise the work of subordinates as necessary.

    + Develops processes and policies to meet operational needs. Facilitates the intersection of senior leadership, faculty and staff cultivating relationships and maintaining effective communications throughout the departments mission as well as with external constituents.

    + Acts as an advisor to leadership with regard to university policies, HR policies, academic program benchmarking, etc.

    Department Administration and Management

    + Manages the faculty affair administrators in the department to ensure that faculty appointments, faculty development, and credentialing are executed timely. Create and review current faculty department affairs procedures on an ongoing basis.

    + Oversees team process for creating, verifying, and sending adjunct faculty letters every semester.

    + Directs staff and processes for documentation in hiring new faculty for their faculty appointment.

    + Oversee the credentialing team and process at the regional level.

    + Supervise professional and support staff, by providing training, development, and education on performance evaluations.

    Education & Experience

    + Bachelor’s degree or equivalent or equivalent combination of education, experience, and training required.

    + Master’s preferred or equivalent combination of education and experience.

    + At least five years relevant administrative experience, including 2 years at a managerial level / capacity in an academic office or project management, or equivalent combination of education and experience required.

    Knowledge, Skills & Abilities

    + Strong interpersonal, presentation, and communication skills, including written communication.

    + Project management skills, preferred.

    + Attention to detail, organizational, and analytical skills.

    + Strong technical skills including Microsoft office and spreadsheet analysis.
