    Position Summary:

    The Outpatient Registration Supervisor is responsible for assisting with planning, directing, organizing, monitoring and staffing in outpatient registration operations at Bozeman Health subject to policies, budgets, objectives and directives mandated by regulatory agencies, DNV and the hospital administrative team. This position is responsible for ensuring accurate and timely demographic data entry, insurance verification, provider order processing, estimate creation, and point-of-service collections. The Supervisor helps maintain compliance with CMS regulations (e.g., ABN and MSPQ) and collaborates with clinical and operational leaders to support access to care and a positive patient experience. The role supports the implementation of standardized workflows and identifies opportunities for operational improvement within the revenue cycle.

    Qualifications:

    Required:

    + Associate's degree in healthcare, business, human resources, or related field; an equivalent combination of education and experience will be considered.

    + Three (3) years of experience in healthcare billing, customer service, patient access, or clinical clerical coordination.

    Preferred:

    + Bachelor’s Degree in healthcare management, business, human resources, or related field.

    + Two (2) years of supervisory experience.

    + One (1) year of experience working with regulatory requirements for PPS, CAHs, provider-based and free-standing clinics, and swing bed account types.

    + One (1) year of experience working with Epic.

    + Regulatory knowledge of applicable CMS regulations (e.g., ABN/MSPQ).

     

    Essential Job Functions: In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

     

    + Assists department leadership with broad operations to ensure the provision of comprehensive departmental services in compliance with all regulatory agencies, CMS Mandates (ABN, MSPQ) and hospital requirements.

    + Ensures a collaborative departmental approach to long-range strategic operational planning, care and service design and development of organizational policies, which reflect the mission of the organization.

    + Coordinates and oversees the organization-wide departmental services. Continuously assesses, measures and improves departmental performance.

    + Demonstrates responsible management of all departmental resources.

    + Demonstrates clinical/technical and managerial competency. Ensures staff professional needs are met.

    + Leads, teaches, inspires, helps and consistently demonstrates hospital behavioral standards

    + Supervises Outpatient Registration staff; responsible for scheduling, training, and monitoring performance.

    + Implements and maintains workflows related to CMS mandates, including ABN and MSPQ compliance.

    + Supports the organization’s point-of-service collection goals through training, oversight, and reporting.

    + Monitors DNB and registration-related work queues to identify systemic issues and escalate unresolved concerns.

    + Collaborates with Patient Access leadership to enhance access to services and improve patient satisfaction.

    + Reviews registration productivity dashboards and develops performance improvement plans.

    + Coordinates with operational leaders to support patient education, including cosmetic procedure prepayments and estimate communication.

    + Responds to escalated patient concerns and resolves issues in a timely, professional, and empathetic manner.

    + Identifies trends in registration-related denials and develops mitigation strategies.

    Schedule Requirements

    + This role requires regular and sustained attendance.

    + The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.

    + On-call work may be required to respond promptly to organizational, patient, or employee needs.

    + Vision (Continuously): Close visual acuity to prepare and analyze data and figures and to read computer screens, printed materials, and handwritten materials.

    + Cognitive Skills (Continuously): Learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions in the context of a workflow.

    + Exposures (Rarely): Bloodborne pathogens, such as blood, bodily fluids, or tissues. Radiation in settings where medical imaging procedures are performed. Various chemicals and medications are used in healthcare settings. Job tasks may involve handling cleaning products, disinfectants, and other substances. Infectious diseases due to contact with patients in areas that may have contagious illnesses.
