    Job Description

    Good Shepherd Fairview Home is looking for a detail orientated Purchasing Coordinator to join our team.

     

    Schedule: Monday - Friday 40hrs/ week

     

    Position Summary: Responsible for the inventory levels, ordering and maintaining of various departmental supplies. Works directly with the Director of Purchasing to create a preferred vendor list which offers GPO prices to the organization and establishes a formulary that is used across all three campuses. Also works with the Director of Purchasing in the procurement of bids and proposals for capital items. Responsible for the analysis of markets to determine vendor sources and product availability.

    Purchasing Coordinator Responsibilities:

    - Helps maintain current W-9’s and Certificate of Liability. Maintain current list and attains new for future vendors.

     

    - Perform OIG checks for new vendors. Add vendors to PCC and Smart PO.

     

    - Assist the Maintenance Supervisor with getting items ordered according to the prioritized work orders. Receive the items in and record in WorxHub that items are in to complete work orders.

     

    - Maintains and orders supplies for maintenance and IT also assists housekeeping, marketing and rec therapy with ordering as needed. Places orders through Smart PO system.

     

    - Receive ordered items into the Smart PO system and creates invoices in Smart PO for all orders that have been placed.

     

    - Maintain appropriate inventory levels of supplies for Good Shepherd Fairview Home

     

    - Register the warranties on the appliances and maintain list of appliances in apartments.

     

    - Price compare and work with the Director of Purchasing to find the best price through approved vendor list or PO. Conduct follow up calls/emails with vendors to ensure timely receipt of supplies. Communicate delivery status to department heads.

     

    - Works closely with Accountants to ensure that invoices are received and created in SmartPO, ensures that invoices are coded correctly according to the GL list.

     

    - Work closely with other departments and purveyors. Continuously seeks savings through price, quality and standardization of products.

     

    - Adheres to purchasing policies, processes and procedures. Assist the Director of Purchasing with Smart PO software.

     

    - Various other duties assigned related to purchasing and receiving of supplies

    Purchasing Clerk Qualifications:

    - High School Diploma or Equivalent

     

    - Must be 18 years of age. Ability to read, write and speak the English language

     

    - Must have 2 years of related work experience.
