    Homelessness is the largest social and public health crisis in California. Illumination Foundation (IF) is a growing non-profit organization dedicated towards disrupting the cycle of homelessness by providing targeted, interdisciplinary services in our recuperative care centers, emergency shelters, housing services and children’s and family programs. IF currently has 13+ facilities with 22+ micro-communities scattered across Orange County, Los Angeles County and the Inland Empire.

    Job Description:

    This Risk and Compliance Administrative Assistant supports regulatory compliance, licensing, and operational coordination across departments. Responsibilities include managing permits, filing required documents with government agencies, coordinating vendor services, and ensuring site safety compliance. The position also assists with office operations, records management, and may involve site visits and trips to government offices as needed.

     

    The pay range for this role is $20.00- $24.00.

    Job Duties:

    Licensing & Regulatory Compliance:

    + Responsible for maintaining a repository to apply for licenses and permits, tracking renewal dates, and submitting applications as needed.

    + Maintain the Legisway system with up-to-date licenses and permits.

    + Establish rapport with finance to coordinate payments for licenses and permits.

    + Responsible for determining which reports and legal notices must be filed and ensuring timely submission to the appropriate city, state, or federal agencies.

    + May be required to drive to and/or workplace sites, city, state, or other government offices to submit or obtain necessary paperwork.

    + Ensure compliance with site safety equipment such as AEDs, Emergency Action Plans (EAP), Workplace Violence Prevention Policy Binders (WVPP), and Safety Data Sheets (SDS) Binders.

    + Maintain records of all healthcare compliance activities, such as running weekly audits of necessary Exclusion Lists.

    Compliance & Operational Coordination:

    + Liaison between compliance and operations during the planning stages of opening new sites.

    Interdepartmental Collaboration:

    + Work cooperatively and effectively with departments, facilitating interdepartmental workgroups and communication to set goals, resolve problems, and enhance organizational effectiveness.

    Third Party & Contract Management:

    + Collaborate with contracted third parties to produce updated Certificates of Insurance (COI) as required.

    Records & Filings:

    + Assist in the processing of records by the due date.

    + Assist in filing claims to the appropriate parties for timely notification.

    Office Administrative Duties:

    + Support daily office operations, including supply management, guest reception, and maintaining executive conference rooms.

    + Coordinate logistics for meetings and events, such as food orders, room setup, and equipment readiness.

    + Support the Executive Assistant in taking meeting minutes for leadership and operational meetings, as needed.

    + Assist with internal projects and company events through planning, coordination, and execution support.

    Other Duties

    + This is not an exhaustive list and may include other responsibilities as business needs dictate.

    Required:

    + High School Diploma

    + 3 years relevant experience

    + Basic Computer Skills

    + Valid CA Driver License and eligibility for company vehicle insurance
