    Duties and Responsibilities

    + Responsible for the function as the first-contact liaison to students, faculty, residents, community faculty, affiliated sites, and school administration for any issues or questions relating to the course/clerkship.

    + Organize course/clerkship activities at affiliated sites by regular communication with site directors and coordinators.

    + Provide primary support for the course/clerkship director in matters relating to the course/clerkship.

    + Draft course/clerkship policies for director’s approval and ensure they are in sync with department and school policies.

    + Prepare and update course/clerkship materials using a variety of formats and coordinate distribution to students.

    + Know how to use, populate, and maintain student grading system/other database systems.

    + Organize and prioritize necessary tasks, initiate changes, and resolve issues as they arise.

    + Understand the curricular goals, policies, procedures, and standards of the core course/clerkship, department, and medical school; and interpret and enforce for students and faculty.

    + Coordinate and schedule online exams and OSCEs; proctor exams.

    + Prepare, organize, and distribute a variety of schedules; contact faculty to confirm participation.

    + Participate in the grading process, collect grades, and prepare final grades for submission.

    + Monitor and ensure completeness of the student and faculty evaluation process; maintain complete and accurate student files.

    + Monitor student logs for completeness of patient types; communicate with students, course/clerkship director, and deans concerning incomplete logs.

    + Understand the major responsibilities of other interacting departments (i.e., student affairs, educational affairs, clinical skills center, registration & records) and comply with expectations, deadlines, and processes established by those relevant to their work.

    + Participate in or conduct the course/clerkship orientation.

    + Know the medical school calendar and courses offered.

    + Maintain website/Sakai site in cooperation with course/clerkship director.

    + Gather and prepare summative evaluation information for course/clerkship director’s review; submit to Office of Student Affairs use in preparing dean’s letter.

    + Prepare letters of recommendation for course/clerkship director and department faculty.

    + Support the core course/clerkship interest group.

    + Assist in development and preparation of reports, such as annual surveys, LCME self-study, and miscellaneous reports as requested.

    + Be knowledgeable about and in compliance with testing/proctoring policy of NBME ; administer NBME exams.

    + Schedule and coordinate meetings and conference calls.

    + Provide support for other pre-clinical and clinical courses as needed.

    + Remain informed about current academic trends.

    + Participate in institutional, departmental, community, or national meetings as ongoing professional development.

    + Perform related duties as assigned.

     

    Minimum Education and/or Work Experience

     

    Bachelor’s degree in related field and at least two to three years of related experience required.
