    Overview

    Summary

    The Data Admissions Specialist serves as the primary administrator of the American Association of Colleges of Osteopathic Medicine Application System (AACOMAS); identifies creative solutions and incorporate new processes to improve workflows, production, security, and the efficiency of the AACOMAS communication and admission application system; develops reports for admission planning and analysis; and ensure the integrity of admission data and systems.

     

    The position works internally with other offices, including Information Technology, Business Services, Financial Aid, and the Registrar’s Office. Externally, this position collaborates with third-party vendors, such as Liaison and AACOM, to transfer and integrate data resources between platforms and systems. Serve as the functional expert on the AACOMAS system, leveraging the capabilities of the system to support both efficient internal business processes and a compelling experience for prospective students.

     

    Under the direction of the Associate Director of Admissions. Responsible for all functions 8 hours/day, 5 days/week. Incumbents are subject to hours beyond the normal workday.

    Principal Accountabilities/Responsibilities:

    1. Configure and maintain the totality of the AACOMAS environment to increase work-flow efficiency and/or the user experience.

    2. Manage all facets of the processing of student contact data, from prospect to enrolled student implementing the communication plan via the AACOMAS email campaign and text applications in order to encourage and facilitate enrollment of qualified applicants.

    3. Manages and supervises the admissions process for all applicants to BUCOM; assesses, evaluates, and interprets applicants’ admissions documents to determine eligibility; manages applicant data files electronically.

    4. Create and maintain reports/queries to help assess performance, productivity, and efficiency of the admissions office functions.

    5. Creates SOPs and training materials for use of the AACOMAS and assist with training sessions on the various technologies associated with admissions.

    6. Acts as a liaison between admissions and IT, Registrar’s Office, Business Services, Financial Aid and faculty/staff users.

    7. Serves as data governance subject matter expert for the AACOMAS and is responsible for definitions, processes and procedures, quality, accuracy and maintenance.

    8. Performs related accountabilities as required or directed.

    Physical Requirements:

    Work requires the physical demands of standing, bending, lifting, stooping or performing other work requiring light physical exertion (up to 30 pounds) on an occasional basis (up to 15% of time) and frequent walking; or moderate physical exertion (up to 50 pounds) on an intermittent basis (not a routine part of the job).

    Environmental Conditions:

    Work is performed under basically normal working conditions as in a standard office environment.

    Travel Requirement:

    Frequent travel required both local and overnight, requiring use of personal automobile. Must provide documentation of valid driver’s license and current automobile insurance with $100,000/$300,000 liability coverage.

     

    Knowledge, Education, Experience

    Minimum Qualifications:

    + Bachelor's Degree in information technology, business marketing, education, or related field such as a health science degree.

    + Two (2) years sales, admission, or recruitment technology experience, or equivalent. At least one (1) year undergraduate or graduate college admissions experience.

    + Valid driver;s license. Liability insurance.

    Desired Qualifications:

    + Bachelor’s degree in information technology, business, marketing, education or related field, such as a health science degree.

    + Two (2) years or more experience in undergraduate or graduate college admissions technology, using Salesforce/TargetX/JRM, particularly as an Administrator.
