The Administrative Operations Coordinator for Alumni Engagement is a member of the Alumni Relations Team within the Office of Alumni Engagement, reporting directly to the Associate Director for Alumni Engagement Operations. The OAE team coordinates programs to engage and communicate with an alumni base that grows and becomes more diverse with each successive graduating class and the students who eventually matriculate to alumni status. This position provides administrative support for many non-event-oriented endeavors, overseeing volunteer management efforts and managing the general operations of the office. The Administrative Operations Coordinator will supervise a small team of student workers and interns.
Responsibilities:
+ Oversee an institution-wide alumni volunteer management program; coordinating volunteer requests with campus alumni engagement partners; serving as the chief administrator of the volunteer management database to track alumni engagement and participation
+ Oversee the execution of the annual Alumni Global Days of Service program, serving as the primary logistics coordinator and volunteer recruiter for the program; coordinate with communications and IT team to promote the program
+ Serve as the primary administrator of the designated portal utilized by the Binghamton University Alumni Association Board of Directors to warehouse records and conduct its business. Duties include controlling user access and uploading appropriate documents, schedules, and other materials to the platform in a timely manner
+ Oversee the management and distribution of the student-alumni engagement fee and its distribution across internal programs and those programs executed by campus partners
+ Provide necessary back-up and redundancy for the Associate Director of Operations
+ Serve as the primary contact to OAE's campus partner's roundtable
+ Process financial transactions, including office credit card reconciliations and expenditures
+ Hire and manage a small cadre of student workers who staff the welcome desk and provide administrative and clerical support for the Office of Alumni Engagement
+ Conduct varied administrative and operational tasks to assist with the execution of signature events and endeavors
+ Other duties as assigned
Job Requirements:
+ Associate's degree with 1-3 years of experience in higher education, non-profit, or service-related industry or equivalent combination of education and experience
+ Excellent interpersonal skills, outstanding personal initiative. Very detail oriented, highly motivated
+ Ability to work effectively in a team environment?with a mix of faculty, parents, alumni, and staff colleagues
+ Willingness to work non-traditional hours, occasionally evenings and weekends.
+ Experience working on social media platforms such as Facebook, LinkedIn and Instagram
+ Experience working with Microsoft Office products
+ Experience working with presentation and design software, such as Canva and PowerPoint
Additional Information:
Salary: $38,000 - $44,900 annually
