    Position Summary:

    The Receptionist Associate is the first point of contact for all visitors and callers, delivering a 5-star customer service experience with professionalism and warmth. This role includes answering and routing calls, welcoming guests, supporting administrative tasks, assisting with hospitality duties, and providing backup support for mailroom functions. The ideal candidate is proactive, organized, and comfortable interacting across all levels of the organization.

    Key Responsibilities:

    Front Desk Operations:

    + Answer and direct all incoming phone calls promptly and professionally.

    + Greet and assist visitors with a welcoming and service-oriented approach.

    + Log visitors into the registration system and issue temporary credentials as needed.

    + Monitor and maintain the reception area to ensure it is clean, organized, and stocked with materials.

    + Handle visitor and employee inquiries, escalating as necessary through the proper channels.

    + Ensure the company phone list and speed dial directory are accurate and up to date.

    Customer Service & Communication:

    + Provide exceptional, five-star customer service in all forms of communication.

    + Communicate clearly and professionally with individuals at all levels of the organization.

    + Demonstrate sound judgment and discretion when handling sensitive or confidential inquiries.

    + Build strong working relationships with internal teams and external visitors.

    Administrative & Hospitality Support:

    + Provide light administrative assistance including room scheduling, catering orders, preparing materials, or assisting departments with small projects.

    + Assist with setup and breakdown of conference rooms for meetings and events.

    + Proactively identify additional ways to support the team during downtime.

    Mail & Security Support:

    + Cross-trained to support mailroom functions as needed (e.g., sorting/distributing mail, receiving and tracking packages).

    + Notify employees of inbound deliveries or coordinate with the Mail Room as appropriate.

    + Track the return of loaned access cards and coordinate with Security for follow-up as necessary.

    Leadership & Responsibility:

    + Train and guide designated backup personnel on reception policies and procedures.

    + Take initiative in solving problems and finding process improvements to enhance service delivery.

    Qualifications:

    + High school diploma or equivalent (GED) required.

    + 1–3 years of receptionist or front desk experience in a corporate environment.

    + Strong customer service, time management, and organizational skills.

    + Ability to make quick, service-focused decisions with confidence and professionalism.

    + Proficient in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.

    + Strong verbal and written communication skills.

    + Resourceful, proactive, and capable of handling multiple priorities with composure.
