    Position Information

    Position Title Human Resources Confidential II for Employee Records and Compliance

     

    FLSA Non-Exempt

    Primary Responsibilities

    This position encompasses a diverse range of complex professional, clerical, confidential, and analytical duties requiring initiative, good judgment and discretion supporting the office of Human Resources. The position requires outstanding organization and precise detail with the ability to build reliable audits on work product; we seek an individual with strong communication (written and oral) who can work independently and also support the members within a collaborative HR department and contribute positively to the overall function supporting key assets of the University, our employees. Must be able to successfully manage multiple tasks including maintaining records, compliance with state and federal laws, collective bargaining agreements, and reporting with solid technical skills to coordinate timely and accurate processing of bi-weekly and semi-monthly payroll changes, employee communications and website updates. Verify the accuracy and completeness of all documents pertaining to new hires, salary changes and terminations and maintain employment records. Produce employment data reports regularly and as needed and respond to inquiries from internal and external contacts.

    Essential Functions:

    + Maintain employment records for active, inactive, and terminated employees and manage related communication to key department contacts with strict confidentiality. Key contact for internal colleagues with any employee record changes.

    + Administer accurate and timely payroll/record changes and employee benefit time data into HRIS and audit changes.

    + Prepare and provide paperwork for new hires and current employees with any record changes, verify employment eligibility and required documents including federal and state forms and related reporting.

    + Update and maintain HRIS database and HR website.

    + Technical expert for all HR system and reporting needs. Analyze data and reporting leading to HR metrics and HR website. Works closely with Information Technology regarding system upgrades/enhancements, testing/troubleshooting, and IT service request liaison.

    + Comply with and administer policies and collective bargaining agreements guidelines for pay and benefit time. Prepares and responds to bargaining agreement adjustments, changes and questions and supports Directors with negotiation and labor management reports.

    + Produce and maintain several key reports and process manual.

    + Maintain and track I-9 and Immigration work authorization records

    + Responsible for the successful cross training of colleagues and serve to support other HR functions in a back-up capacity.

    + Special projects as assigned. Serve on committees as requested by supervisor.

    + Other related duties as assigned

    Minimum Qualifications

    High school diploma or equivalent required; Five years related experience required, preferably in human resources and working with confidential information. Equivalent combination of education and experience may be considered.

     

    Must be an articulate, savvy administrative professional with superb oral and written communications skills.

     

    Proficient in Microsoft Word, Outlook, Excel, internet applications and experience with database systems. Ability to learn and accurately maintain HRIS required.

     

    Must have excellent math/computation skills.

     

    Ability to work independently and as part of a team supporting others is essential. Prioritizing conflicting work assignments and meeting deadlines is critical. Must be able to exercise good judgment and decision making within assigned authority. Must be able to work in a fast paced environment with strong, positive customer service and interpersonal skills. Excellent organizational skills are required. Must have the ability to effectively support all levels within the University and maintain strict confidentiality.

    Preferred Qualifications

    Associate’s degree or Human Resources certification. At least two years’ experience in Human Resources. Experience with Ellucian’s Colleague. Knowledge of HR policies, practices and basic understanding of state and federal employment laws and prior experience with payroll and/or records management.

     

    Salary $22.43 - $31.22. Actual start rate will be determined based on education, experience, and other factors permitted by law.
