    The School of Dentistry has an outstanding opportunity for a Administrative Assistant 3 to join their team.** **POSITION PURPOSE

    The UW School of Dentistry’s (UWSOD) Department of Oral Medicine, located in the Health Sciences building on campus, is the region’s premiere authority on Oral Medicine related issues. The University of Washington Department of Oral Medicine is a global leader in patient care, teaching and research involving diagnosis and nonsurgical management of diseases of the orofacial complex and systemic and behavioral disorders that impact oral health, including:

    The Administrative Assistant 3 reports directly to the Administrator and will provide administrative support for travel, scheduling, invoicing, reimbursements, and curriculum in the Oral Medicine Department. This individual is expected to exercise independent judgement to interpret department policies and procedures.

     

    The successful candidate will be able to perform complex administrative support functions, exhibit organizational skills, demonstrate the ability to establish and maintain effective working relationships with personnel at all levels, have experience working independently and as part of a team, and contribute with a working knowledge of Microsoft Office Applications (Word, Excel, Power Point, Visio, Tableu, etc.).

     

    Additionally, they will possess excellent written and verbal communication, interpersonal skills, and customer service skills. Prior experience in the use of Workday would be helpful.

    DUTIES AND RESPONSIBILITIES

    Senior level in the Administrative Assistant series. Under general direction, independently perform complex administrative support functions with delegated authority from departmental or unit management, such as serving as an executive assistant to an administrative head, developing new office or administrative procedures, interpreting departmental policies and procedures, monitoring departmental budget. Exercise judgment to solve unusual administrative problems in a way consistent with the objectives and policies of the unit and university or college.

    TYPICAL WORK

    • Resolves problems and responds to inquiries regarding rules, regulations, policies, department procedures, department services, and scheduling.

    • Answers telephone; receives and refers visitors; dispenses mail and email inquiries

    • Reviews documents, records, or applications for completeness, accuracy, and compliance with rules.

    • Establish office and administrative systems and procedures to ensure departmental or unit compliance with University of Washington policies and/or other external regulations.

    • Coordinate and track departmental-wide projects and schedules delegated to staff, faculty, and students. monitor and report on progress.

    • Place office orders, enter invoices, put through faculty and student reimbursement requests.

    • Analyze personnel, financial, and other data and create reports as needed.

    • Attend meetings as department or management representative; take meeting minutes

    • Oversee and complete the preparation of documents related to travel, purchasing, budget and event coordination for travel, memberships, and related activities.

    • Prepare the Office of Oral Medicine for meetings and conferences, which may include researching, developing, and producing print, electronic, and other materials for presentations.

    • Serve as support staff for academic administrative reviews of departments, as assigned by the Administrator or the Departmental Chair. Support may include correspondence, coordinating and maintaining meeting schedules, organizing meetings, planning interview and site visit schedules, and handle all other practical aspects of the review under the guidance to the review committee chair.

    • Performs other duties as assigned.

    MINIMUM REQUIREMENTS

    • Requires High School/GED AND three years of office or administrative support experience.

    _Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._
