Job Description
Reports to : Assistant Director of Customer Relations & School Support
Position Overview: Boston Public Schools Department of Transportation is responsible for the daily transportation of approximately 25,000 students on yellow bus service as well as approximately 35,000 students utilizing the MBTA. Additionally, the department provides yellow bus transportation for Athletics events, Field Trips, and other special events.
The Supplemental Manager is responsible for overseeing the BPS MBTA Pass program as well as the scheduling and coordination of bus transportation for Athletics events, Field Trips, and other special events. He/she will oversee the distribution of M7 MBTA passes to eligible Boston students at BPS and non-BPS schools, to ensure equitable access to transportation services. He/she will manage the scheduling and coordination of bus transportation for Athletics events, Field Trips, and other special events. He/she will work closely with BPS’ yellow bus contractor as well as the BPSDOT Operations and Customer Service teams to ensure high-quality bus service for Athletics events, Field Trips, and other special events.
Responsibilities :
Manage the BPS MBTA Pass Program
+ Work with the MBTA on ordering and receipt of MBTA passes on an annual basis
+ Oversee the packaging and distribution (through schools) of MBTA passes to all eligible students at the start of the school year
+ Respond to requests for additional or replacement MBTA passes in a timely manner throughout the school year
+ Manage BPS’ MBTA Safety Ambassador Program
+ Prepare reports and analysis as needed on MBTA pass usage
Manage Supplemental Bus Transportation
+ Collaborate with BPS Athletics to schedule Athletics bus trips
+ Manage requests and scheduling of bus trips for Field Trips and other special events
+ Work closely with BPS’ yellow bus contractor to ensure fulfillment of scheduled supplemental bus trips and work to resolve any fulfillment challenges based on driver and schedule capacity
+ Utilize BPS routing software (Versatrans) to assist in scheduling of supplemental bus trips so as to ensure no impact on scheduled home-to-school bus service
+ Prepare and track processing of invoices to schools for supplemental bus services
+ Prepare reports and analysis as needed on supplemental bus service
Operations Coordination
+ Develop and execute standard operating procedures and communication protocols for supplemental bus service
+ Collaborate with BPS’ yellow bus contractor to ensure high-quality bus service for Athletics events, Field Trips, and other special events.
+ Problem-solve to resolve any operational incidents and service issues as they arise
+ Work closely with BPSDOT Operations Coordinators to ensure seamless collaboration and coordination between home-to-school bus service and supplemental bus service
+ Ensure follow-up on supplemental bus service issues
+ Provide back-up support for BPSDOT Operations Coordinators
Support Department Communications
+ Work closely with the BPSDOT Customer Service Team Leads to ensure the BPSDOT Customer Service team has the skills and information needed to support families and schools with providing real-time communications and answering questions around MBTA Passes and supplemental bus service
+ Support the Assistant Director of Customer Relations and School Support in preparing communications for schools and families regarding MBTA passes and supplemental bus service. This includes keeping information up-to-date on the BPS Transportation website and Support Portal, and preparing memos and communications throughout the year for schools and families with relevant updates.
+ Perform other related duties as assigned by the Director or Assistant Director
Qualifications - Required:
+ Associate's Degree or Post-Secondary Business Training or Equivalent Experience
+ Demonstrated experience in an operations or similar role
+ Excellent time management, prioritization, and multitasking abilities
+ Strong interpersonal skills to build strong relationships with colleagues and stakeholders
+ Strong communication skills, including speaking, writing, and active listening
+ Ability to thrive in a cross-functional, high-pressure environment
+ Minimum 1 year BPSDOT role-based knowledge of Microsoft Office, Excel, Word, G Suite
Qualifications - Preferred:
+ BA/BS preferred
+ Experience working in an urban public school setting
+ Experience working in transportation
+ Supervisor experience
Terms : Managerial, C41. 12 Months
Work Schedule: Full-time, 9am -5pm. Some evening and weekend responsibilities driven by school start-up and other occasional operational needs.
