    Reporting to the Associate Dean for Research and Graduate Programs, the Senior Grants and Contracts Manager leads a team of two research administrators in the Dean's Office, supporting a diverse portfolio of faculty across the School of Pharmacy. This position is responsible for overseeing the full grant lifecycle—from identifying funding opportunities through pre-award submission to post-award management and closeout. The role requires independent judgment, strategic decision-making, and deep knowledge of complex grants and contracts administration.

     

    In addition to managing their own faculty portfolio, the Senior Manager provides leadership and training to the grant administration team, ensuring operational consistency, efficiency, and compliance. This position works closely with external sponsors, central UW offices, faculty, and staff to ensure all administrative deliverables are met and that the School remains in full compliance with sponsor, institutional, and regulatory policies. Strong leadership, communication, and collaboration skills are essential in promoting a cohesive and high-performing research support environment.

    DUTIES AND RESPONSIBILITIES** **Lead Responsibilities (30% FTE):

    • Serves as a content expert and resource for faculty and other staff members regarding research administration with substantial responsibility for managing the School’s most complex pre and post award grants and contracts.

    • Maintain expertise in sponsor policies and systems, including internal and external training, participation in peer networks, and professional development.

    • Manage the most complex proposal preparation and submissions.

    • Prepare reports for school leadership and external stakeholders.

    • Conduct a quality control review of all proposals to ensure each application meets sponsor/proposal requirements and School policies before being routed in SAGE for campus review.

    • Identify and assess compliance and risk management issues. Develop policies and procedures to manage issues and implement them as appropriate to reduce audit risk and ensure accuracy. Keep program investigators, staff and senior management informed.

    • Serve as liaison for the research administration team with sponsors, industry, and university departments. Proposals, submission guidelines, and grant or contract execution are complex and may require frequent contact with sponsor representatives, the Office of Sponsored Programs, and Grant and Contract Accounting.

    • Develop policies, procedures, process improvements and templates for research administration functions to streamline processes and increase consistency.

    • Provide training to faculty, staff and students of the School concerning research administration.

    • Monitor funding opportunities (program announcements, request for proposals, request for application) and distribute to faculty.

    • Provide regular updates to faculty and the School regarding changes in sponsor and university research directives, as well as changes to School of Pharmacy procedures.

    • Pro-actively reach out to faculty to ensure all timelines are met.

    • Collect, analyze, and report on metrics regarding research portfolios, efficiency, compliance etc.

    • Participate in and contribute to School of Pharmacy and UW research meetings.

    • Provide back-up to the other research administration staff for all grant and contract activities.

    Pre-Award Management (30%)

    • Manage the complex pre-award activities for the School by performing and overseeing timely and accurate complex grant proposal and submission.

    • Provide technical advice to investigators and support staff on research funding guidelines and restrictions, application procedures, deadlines, and appropriate budgets.

    • Provide strategic planning advice to PIs about funding and resource allocation, considering pre-award plans with current and future awards.

    • Regularly oversees actions throughout the fund/award lifecycle of sponsored projects to ensure compliance with all School, University, and sponsor policies.

    Post-Award Grant Management and Oversight (35%)

    • Manage all grant related activities. Oversee and manage technical, legal, financial, and administrative components of grant management, working directly with the finance team, other departments, sponsors, and senior management.

    • Maintain grant oversight by overseeing the status of grants and forecasting and tracking grants and budgets for the multiple PIs in the program.

    • Collaborate directly with faculty and staff to ensure compliance by ensuring allowable expenses and the appropriate spending limits.

    • Develop tools and indicators to ensure quality and timeliness of all aspects of grants processing and management.

    Other duties as assigned (5%)** **MINIMUM REQUIREMENTS

    • Bachelor's degree in Business Administration, Public Administration, Finance, or a related field; equivalent experience may be considered.

    • Minimum of five years of progressively responsible research administration experience, including finance, budgeting, and compliance, preferably within higher education, nonprofit, or government organizations.

     

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration** **ADDITIONAL REQUIREMENTS

     

    • Extensive knowledge and hands-on experience managing grants from federal sponsors such as NIH, NSF, and USAID.

    • Proven ability to interpret and apply complex institutional, federal, and sponsor-specific policies and compliance requirements.

    • Exceptional interpersonal, customer service, and communication skills, with demonstrated ability to engage effectively with faculty, staff, and diverse academic and cultural communities.

    • Strong problem-solving skills, fiscal responsibility, and meticulous attention to detail.

    • Demonstrated ability to manage multiple concurrent priorities and strict deadlines with accuracy and professionalism.

    • Proficiency in Microsoft Office Suite, including advanced Excel skills.

    • Self-motivated with the ability to work independently and collaboratively in a dynamic, fast-paced environment.

    • Willingness and flexibility to work extended hours as needed to meet critical proposal and reporting deadlines.

    DESIRED QUALIFICATIONS

    • Over five years of research administration experience specifically within higher education or academic research institutions.

    • Expertise with University of Washington's research administration systems, including extensive experience with Workday Finance and holding multiple security roles.

    • Proven leadership experience, including mentoring grant and contract staff and leading complex projects or initiatives.

    • Experience managing large, multi-investigator, center, or training grant proposals.

    • Demonstrated ability to innovate, develop, and implement improved administrative workflows and processes in response to evolving systems and policy requirements.

    • Knowledge of Uniform Guidance (2 CFR 200) and other federal grant regulations.

    • Experience facilitating cross-departmental collaboration and fostering a culture of compliance and customer service excellence.
