Our client, a boutique estate planning firm located in Orinda, CA, is seeking a dedicated Legal Intake Specialist to join their team. About the Role

As the firm’s Legal Intake Specialist, you will be the first point of contact for potential clients—playing a critical role in delivering exceptional service and ensuring seamless intake processes. Your ability to handle a steady influx of inbound client inquiries while proactively engaging in outreach efforts will position you as an essential team member contributing to the firm’s long-term success.

Key Responsibilities

+ Serve as the primary contact for inbound calls and email inquiries, responding quickly and professionally to potential clients.

+ Conduct comprehensive client intake interviews to assess needs, gather essential information, and determine fit for the firm’s services.

+ Organize and maintain accurate records of client communication and intake data within the firm’s systems.

+ Collaborate with attorneys and staff to ensure an efficient onboarding process for new clients.

+ Utilize your strong interpersonal and communication skills to represent the firm’s values and mission.

+ Assist with outbound marketing efforts, including client follow-ups, community outreach, and identifying opportunities to bring in new clients—earning bonus potential for successfully generating new business!

Requirements

Qualifications

+ Experience in client intake or customer service: Prior exposure to the legal industry, estate planning, or a professional services environment is highly desirable.

+ Strong communication skills: Positive demeanor, active listening, and an empathetic approach when speaking with clients.

+ Organizational excellence: Attention to detail and the ability to manage multiple tasks simultaneously.

+ Proficiency with standard office technologies, including email, scheduling software, and client management systems.

+ Marketing savvy: Comfort with light outbound efforts, including follow-ups and introductory outreach (bonus potential available).
