    Three years of experience in administrative services.

    EXPERIENCE SUBSTITUTION:

    Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

    Job Duties and Other Information

    Job Duties:

    Provides administrative support to Nursing Services: Serves as direct Administrative Coordinator to Assistant Director of Nursing (ADON). Specific duties include, but are not limited to: keeping appointment schedules, prepares travel documents, issues directives to others on his/her behalf, and relieves the ADON of administrative matters. Serves as communication point of entry for nursing department and communication liaison with other departments, vendors, and families. Duties include responding to inquiries verbally and in writing concerning agency and department functions, and documenting and filing appropriate correspondence reports. Performs advanced clerical and stenographic duties. Duties include composing and typing correspondence for the nursing department, preparing memorandums and directives based on administrative decisions, and proofing a variety of materials and data for completeness, accuracy, and adherence to agency and department specific standards. Maintains personnel files for employees in the nursing department. Receives initial personnel documents (such as Continuous Performance Management (CPM) } forms, PAR {Personnel Action Request} forms, etc.) and reviews for compliance. Coordinates with nursing management staff to make corrections and resolve discrepancies. Prioritizes and provides appropriate professional staff with data to maintain compliance with policies and procedures of LDH (Louisiana Department of Health), OCDD (Office for Citizens with Disabilities), PSSC, and the nursing department. Compiles information from various sources and prepares specialized reports, then formats said reports according to department standards. Facilitates nursing departmental meetings by sending invitations to pertinent staff, prepares agendas, secures meeting rooms, transcribes minutes, and disperses said minutes to pertinent staff. Determines property and equipment needs and prepares purchase requisitions (PUR) for supplies and equipment.

     

    Provides specialized communication duties to Nursing Services: Independently reviews, compiles, and distributes 24 Hour Nursing Reports. Prepares and distributes reports for Hospital/Observation Unit admissions and discharges. Collects and compiles raw data, inputs data into multiple databases, creates appropriate reports, distributes these reports to relevant departments and departmental managers. Prepares and distributes staff in-service training documents for all nursing staff. Tracks completion of training, and generates reports of all education documents for the nursing department. Sorts and distributes incoming and outgoing department mail.

     

    Serves as Human Resources (HR) point of entry liaison for Nursing Services: Coordinates with HR and receives incoming job applications for the nursing department. Performs initial preliminary review of job applications for compliance with departmental minimum requirements and relays applications and recommendations to nursing DON/ADON Independently contacts applicants and coordinates interviews for open positions and/or promotional opportunities. Completes PAR's for new hires, promotions, and interdepartmental transfers. Reviews verification of nursing licensure for potential applicants, new hires, and current nursing department staff, and communicates findings to appropriate members of nursing management.

     

    Serves as the Safety Coordinator for Nursing Services in conjunction with PSSC Facility Safety and Emergency Preparedness Coordinator: Facilitates all nursing department safety meetings and inspections. Coordinates fire drills and safety inspections in the Observation Unit and medical office areas. Tracks quarterly safety meetings and inspections by recording and maintaining a database of completion dates. Prepares and prints reports as requested by PSSC Facility Safety and Emergency Preparedness Coordinator and/or other agency personnel. Performs other duties as assigned by Supervisor/Administrator to support the Agency and/or the people we serve.

    This position may be filled by Probation, Promotion, Demotion, Lateral Transfer or Detail to Special Duty. Preference may be given to permanent classified employees of Pinecrest Supports and Services Center.
