Job Description
Be the Heart of Our Sales Team
Are you highly organized, resourceful, and love creating systems that help others succeed? As our Sales Coordinator, you’ll be the go-to person behind the scenes—making sure every proposal, contract, and group stay is set up for success. From coordinating leads and managing reservations to crafting event materials and keeping communication flowing, you’ll keep the sales engine running and the details airtight.
What You’ll Own
This role is all about supporting a busy sales and events team so they can focus on what they do best - building business and creating amazing guest experiences.
Your day-to-day will include:
+ First point of contact: Welcoming guests, responding to phone calls and emails, and handling general inquiries with a professional, helpful tone.
+ Processing sales leads: Intaking, tracking, and supporting incoming group/event leads and reservation requests.
+ Managing group blocks: Reporting pick-up status, updating rooming lists, providing cutoff date alerts, and making reservation changes as needed.
+ Administrative support: Preparing reports, compiling data, maintaining organized digital files, and assisting with sales materials like proposals, contracts, and meeting notes.
+ Client communication: Interacting directly with group, catering, and business travel customers—helping them book, modify, and confirm plans.
+ Sales systems and CRM upkeep: Upload contracts, keep files current, track agreement status, and support follow-ups.
+ Collateral creation: Assist with flyers, branded materials, and local promotions.
+ Social media: Manage hotel social channels, post a minimum of four times per month, and respond to comments/reviews to keep the brand voice strong.
+ Cross-functional teamwork: Partner with the Catering & Events Manager, respond to RFPs, and help coordinate between departments to make every event seamless.

What You Bring to the Table
Required:
+ 1+ year in customer service or administrative support
+ High school diploma or equivalent
+ Proficiency in Microsoft Office
+ Valid driver’s license and reliable transportation
Preferred:
+ Experience in a hotel sales or events office
+ Familiarity with sales systems (Delphi.fdc, CI/TY) and PMS platforms (OnQ, Opera)
+ Degree in Hospitality, Marketing, Business Administration, or a related field
Additional Details
+ Primarily on-site, seated role (up to 8 hours/day at a desk)
+ Occasional errands or local travel (<5%)
+ Regular participation in sales team meetings
+ May be asked to assist with projects or events outside core duties
