    The Program Operations Specialist (Hand) is responsible for managing all aspects of the ACGME accredited Hand Surgery Fellowship Program in the Department of Orthopaedics & Sports Medicine.

    POSITION PURPOSE

    The UW Hand Surgery Fellowship is a 12-month program consisting of four fellows. The goal of the program is to teach the basic science related to the normal function of pathology of the upper extremity, peripheral nervous system, and microcirculation. Candidates participating in this program are expected to master a clinical knowledge of the basic diagnosis and treatment methods in Hand Surgery, both rehabilitation as well as surgical treatments.

     

    Management of the Hand Surgery Fellowship involves but is not limited to: in collaboration with the faculty Program Director, set goals & objectives; independently allocate resources (e.g. financial, personnel) based on these objectives; use specialized knowledge of UW, School of Medicine (SOM), GME, and ACGME policies and procedures to establish Program specific policies, methods, and procedures; attend UW GME and national Hand Society and/or ACGME meetings as a representative of the program. Ensure the ongoing success and accreditation of the Hand Surgery Fellowship by: enforcing the compliance of all faculty and fellows on all accreditation-related activities; leading annual program evaluation meetings to review and revise competency-based curriculum goals and objectives; and writing GME and ACGME compliance action plans and annual updates. Participate in the NRMMP Hand Surgery Match Program in the selection of Hand Fellows.

     

    The Program Operations Specialist (Hand) is also responsible for community outreach and engagement for the Program, which includes managing the annual Hand Course, which is attended by 250+ providers from throughout the community. The person in this position will also provide research management for the Hand faculty and fellows. Research support includes: research grant submissions, manuscripts, abstracts, presentations and grant budgetary management.

    Position Complexity:

    The Program Operations Specialist (Hand) is responsible for ensuring both the continuing success and accreditation of the Hand Surgery Program. Therefore, the person in this position must use specialized knowledge of the Program as well as ACGME and UWGME accreditation policies and procedures in order to continuously evaluate whether or not Program goals and objectives are being met. If they are not, the Program Operations Specialist must develop new strategies for meeting them within a short time frame, given the 12-month nature of the Fellowship Program.

     

    In addition, fellows rotate at multiple, geographically dispersed, locations, including: Harborview Medical Center (HMC), University of Washington Medical Center (UWMC), UW Medical Center - Northwest and Seattle Children’s Hospital. In order to ensure Program success, the person in this position must have in-depth knowledge of the often unique operational and credentialing policies at each site of practice – as well as the national (e.g. ACGME, NRMMP Hand Surgery Match Program), University of Washington (UW), School of Medicine (SoM), Departmental, UW GME, UWP, and Workday/ISC procedures, policies, and regulations governing Fellowship appointments.

    Position Dimensions and Impact to the University:

    The Program Operations Specialist supports the UW’s and Department’s dedication to education, research, and community service. Education, through the training of future generations of orthopaedic surgeons; Research through the management and coordination of the Hand faculty & fellows research interests; and Community through the execution of the annual Hand Course, which is attended by 250+ domestic and international clinicians.

     

    The Program Operations Specialist is responsible for administering research grants with an annual total award amount of approximately $100K, as well as managing the revenue from the annual Hand Course ($52K).

    DUTIES AND RESPONSIBILITIES

    Manage the Hand Surgery Fellowship Program (70%)

    + In collaboration with the faculty Program Director, set goals & objectives for the Hand Surgery Fellowship Program. Independently allocate and manage resources (e.g. financial, personnel) based on these objectives; use specialized knowledge of UW, School of Medicine (SOM), GME, and ACGME policies and procedures to establish Program specific policies, methods, and procedures to ensure program goals are achieved. Lead annual program evaluation meeting and review and make recommendations for revision of competency-based curriculum goals and objectives.

    + Fellow Selection/Onboarding: Manage the NRMMP Hand Surgery Match Program in selection of Hand Fellows: oversee interviews, organize fellowship applications, compile fellowship candidate score results, and entry into NRMP Match Program. Manage all aspects of on-boarding Fellows, including credentialing for hospital privileges and arranging hospital rotation schedules at all sites (e.g. UWMC, HMC, SCH, UWNW). Must have in-depth knowledge of institutional (UW), SOM, GME, UWMedicine IT, Department, and hospital/clinical policies and compliance regulations regarding the onboarding and offboarding of clinical Fellows.

    + Accreditation: Administer and ensure full compliance of all faculty and fellows on all accreditation-related activities. Carry out complex program activities to determine consistency and fulfillment of fellowship training program goals and objectives. Responsible for ensuring graduating surgeons meet all requirements for their specialty. Write GME compliant action plan and APE meeting summary annually. Compile and maintain accreditation materials including writing ACGME’s annual ADS program update. Attend UW GME program administrator meetings as the representative of the Hand Fellowship Program and national Hand Society and/or ACGME meetings every 3 years.

    + Supervise seasonal student assistant including job training and monitoring and approving workday hours.

    + Other Program related duties as assigned (e.g. monitoring Fellow duty hours in MedHub, create MedHub schedules, approving away dates)Hand Course/Community Engagement (20%)

    + Manage the annual UW Hand Course, which is attended by 550+ clinicians from throughout the region. Management includes, but is not limited to: establishing and monitoring the annual budget, overseeing marketing, managing event communications, design and update course website, arranging speaker travel accommodations, designing promotional material, registering participants, securing event space, etc.

    + Design & manage outreach activities and events, professional education, continuing medical education course and speaker series.

    + Manage the UW Hand website, ensuring content is current and consistent with objectives and branding standardsResearch Management (10%)

    + Provide research management and coordination for rotating Fellows and three faculty members within the hand service. Manage grant submissions, manuscripts, abstracts, and presentations. Administer research budgets, ensuring compliance with UW, SOM, OSP, and sponsor guidelines. As necessary, coordinate study recruitment as well as the ordering and logistical coordination of study materials and specimens. **MINIMUM REQUIREMENTS** Bachelor’s in a business-related field (e.g. business administration, communications) or a liberal art (e.g. english literature, humanities, social studies)At least 2 years of experience in program or project management in an academic or clinical environment **ADDITIONAL REQUIREMENTS**

    + Computer proficiency with spreadsheets, word processing and databases in a Windows/Mac environment. **DESIRED QUALIFICATIONS**

    + Knowledge of GME (Graduate Medical Education) and/or ACGME policies and procedures
