This position supports the day to day operation of the Department of Professional Education Programs with some limited support to the Department of Educational Leadership. Primary responsibilities include coordination and completion of routine office work. Strong computer skills (Microsoft Office and Google Suite at a minimum) and the ability to work independently with regular check-ins in a supportive environment are necessary. A knowledge of teacher education, NYSED, and accreditation is helpful, but not required.
Summary of Routine Duties
+ Answer phone, voicemail, and electronic messages and direct communication to appropriate personnel
+ Make copies, scan materials, mail as needed
+ Pick up and drop off materials to and from mail room and faculty offices
+ Gather information from college systems (Informer, Colleague, etc.) as requested by Chair
+ Complete FUR forms to reserve rooms, order food from Sodexo, and ensure IT services are in place for meetings/events
+ Creates Grade Change forms, Course Change requests, and other paperwork as directed by Chair
+ Regular communication with faculty regarding, but not limited to, the following: schedule, changes to academic schedules, supply requisitions, grade changes, business cards, travel or supply reimbursements
+ Submit and track maintenance and help desk tickets as needed in support of the department including, but not limited to copiers, classroom support, and/or office needs
+ Maintain all files for graduate students in PEP from application through graduation, including POS forms, etc
+ Prepare and distribute a weekly report for PEP chair showing new admission information and recording action taken by faculty on applications (graduate)
+ Maintain Chair's files
+ Plan, arrange, and complete appropriate paperwork for all travel for ESE members in EDL and PEP departments
+ Other duties within the scope of the position as assigned
Projects that are not daily, but are routine during the year
+ Set-up and maintain LiveText courses and files for faculty and accreditation purposes
+ Coordinate the onboarding of new adjuncts, including appropriate paperwork necessary for payroll
+ Issue contracts for adjunct faculty within PEP programs (write contracts using mail merge); create payroll rosters for PEP department
+ Complete necessary paperwork for any academic review of graduate students that is needed at end of each semester.
+ Other duties within the scope of the position as assigned
The estimated wage is $19.35 per hour for 37.5 hours per week for 52 weeks.
