Description We are looking for a dedicated and versatile Office Manager to join our team in Chicago, Illinois. This is a long-term contract opportunity within the insurance industry, offering a dynamic work environment where adaptability and organization are key. The ideal candidate will play a pivotal role in office operations, supporting leadership and ensuring smooth day-to-day activities.
Responsibilities:
• Oversee daily office operations, including inventory management and ordering supplies to maintain a well-equipped workplace.
• Assist with onboarding new employees by coordinating workspace setup, technology arrangements, and HR-related tasks.
• Provide administrative support to leadership, including scheduling, correspondence, and follow-up on urgent matters.
• Collaborate with cross-functional teams to ensure seamless virtual training and support for regional office managers.
• Act as a liaison between departments, ensuring effective communication and coordination of tasks.
• Approve timecards and monitor attendance records to ensure compliance with company policies.
• Handle accounts payable and receivable processes using accounting software systems.
• Utilize tools such as Workday and ServiceNow to manage administrative tasks and streamline operations.
• Answer inbound calls and address inquiries with professionalism and efficiency.
• Maintain a business casual office environment while adapting to various responsibilities as needed. Requirements • Proven experience as an Office Manager, with 3-5 years in a similar role.
• Proficiency in software tools such as Microsoft Office Suite, Workday, and ServiceNow.
• Strong multitasking abilities and flexibility to pivot between tasks effectively.
• Excellent communication skills and a collaborative, "how can I help" mentality.
• Familiarity with accounting functions, including accounts payable and receivable.
• Experience with onboarding processes and coordinating office setups for new hires.
• Ability to manage inventory and supplies with attention to detail.
