    As the Communications and Facilitation Coordinator, you will serve as the Financial Operation Division’s (FOD’s) content development and management lead. This position ensures staff throughout the agency and our county and tribal partners have access to regularly updated, correct, easy to understand information and that FOD-owned agencywide meeting series and ad hoc workgroup meetings are effectively managed. This position guarantees clear, accurate, and accessible communication across internal and external platforms by drafting content, managing records, coordinating and facilitating meetings, and championing accessibility standards. This position supports division-wide efficiency, compliance, and engagement through organized information flow and consistent communication practices.

    Responsibilities include but may not be limited to:

    + Serve as the FOD’s content development lead to ensure policies, procedures, guidance, and other information owned and managed by FOD are accurately and effectively drafted and disseminated throughout the DHS.

    + Provide administration, coordination, logistic, and documentation management, including record retention oversight, for the division’s internal and external communication channels, including SharePoint and Teams.

    + Provide meeting coordination and facilitation support for the division and the agency-wide finance teams it supports.

    + Ensure the division adheres to federal and state standards and guidelines for accessible documents and websites.

    Minimum Qualifications

    Two (2) years professional experience in an advanced administrative role.

    Experience must demonstrate:

    + Ability to:

    + Develop, draft, and review documents (policies, procedures, meeting minutes, training material, memos, etc.) for accuracy, readability, accessibility, and compliance for varying audiences.

    + Manage documents and document repositories.

    + Apply record retention schedules and accessibility standards.

    + Ability to coordinate and facilitate large group meetings.

    + Microsoft Teams knowledge and experience, or comparable experience with other collaboration software and tools.

    + Administrative skills necessary to support and coordinate large groups of partners and team members and respond to their needs.

    *A Bachelor’s degree in Business Administration, Business Management, or Communications may substitute for one (1) year of experience.*

    Preferred Qualifications

    + Advanced SharePoint knowledge.

    + Knowledge of DHS organization, policies, and procedures.

    + Experience facilitating meetings in a hybrid work environment.

    + Experience teaching technical skills to non-technical individuals and people with different learning styles.

    + Experience with PowerPoint and Visio or comparable visual presentation software.

    + Variety of experiences working effectively with others from different backgrounds and cultures.
