    Our Lamar office in Salt Lake City, Utah, is now hiring a Transit Office Manager to help us bring innovative outdoor advertising campaigns to life for brands in Salt Lake City, UT, and the surrounding areas.

     

    Persons in this position provide a high level of administrative assistance in support of Transit operations. A primary focus is assisting the sales force in the market with many aspects of obtaining new business and servicing existing customer accounts. Specific tasks may vary from market to market. The Office Manager reports directly to the General Manager. In addition, a variety of planned and unplanned projects will frequently be assigned by General Manager, Regional management and Corporate departments in Baton Rouge. With business directives coming from multiple sources, the Transit Office Manager is called on to balance the needs of the market with the needs of the organization as a whole. The role is fast paced and rapidly changing. Projects will be assigned of varying complexity. Ideal candidates will respond to requests calmly, quickly and reliably. Assignments must be completed within tight deadlines. Much of the work done requires attention to detail.

    + The strongest candidates will understand sorting, filtering and know how to link pages for summaryreporting.

    + Understand basic accounting principles. This is an essential requirement. Prior experience actually handling AP, AR, or payroll is helpful. Experience using automated accounting packages is helpful.

    + Have experience using customer relations management (CRM) or other database systems. This may include Act!, Access or other systems. The current Lamar Transit database is Salesware/POWER.

    + Show ability to generate standard business documents and sales proposals using word processing tools such as Word. Prior use of PowerPoint for presentations is preferred.

    + Exhibit the ability to independently set priorities for work completion, and reliably complete taskson schedule.

    + Be able to interpret and summarize data.

    + Have a broad set of skills and experience that will support effective office operations and facilitiesmanagement

    Education and Experience Requirements

    + High School Education or Equivalent required

    + 2 years working experience in Office environment

    A day in the life:

    + Specific requirements will vary by market. Other projects may be assigned as required.

    + Contract Management & Quality Oversight

    + Assist in developing proposals and marketing materials.

    + Review incoming contracts for completeness and accuracy. Be accountable for quality control in final contract submission for billing. Prepare supporting documents such as Billing Instructions and Addendums that clarify information.

    + Enter and update data in the CRM system. The Office Manager will use and support POWER including coaching staff on system use, and overseeing consistent data entry in the market.

    + Ensure credit applications are complete and updated, that contracts are credit screened before billing.

    + Create or generate credit, production and AR status reports. Proactively communicate with the sales team and others to reduce delays. Develop tracking systems and assist in resolving problems so contracts post and bill in a timely fashion.

    + Transit Installation & Inventory Management

    + Review installation reports for completeness and route as directed.

    + Work with Installers to maintain available space reports and inventory records. May assign buses for specific ad installation, and may assist in scheduling transit installations in local markets.

    + Communicate with Transit District partners as directed.

    + Office Management

    + Oversee office organization and maintenance of equipment and facilities.

    + Develop and deploy systems, procedures and policies in conjunction with the GM, regional management, and Corporate. Assist with training and coaching for market employees.

    + Work with MIS and vendors to resolve hardware/software issues that impact effective business operations. This may include setting up equipment and doing basic trouble-shooting.

    + Accounts Payable & Purchasing

    + Set up new vendors in the AP system and obtain related paperwork required to do so. Code Accounts Payables and expense reports to correct GL accounts.

    + Investigate product purchase options and pricing. Negotiate with vendors and obtain necessary information from business partners. Obtain any required approvals for purchasing.

    + As required, may perform local errands to pick up and deliver supplies, meals, etc.

    + Human Resources & Benefits

    + Assist in obtaining new hire documents or other paperwork relating to employee status changes. Understand HR requirements and maintain confidentiality in all required matters.

    + Arrange for drug testing, pre-employment physicals or other screenings.

    + May act as liaison or program administrator in handling communications between Corporate andmarket employees.

    + Sales Meetings & Training

    + Arrange small and large group meetings. Reserve hotel and restaurant space. Make flight and auto rental reservations. Coordinate group travel plans.

    + Prepare and distribute agendas. Develop presentation materials. Gather meeting supplies, set-up and clean-up.

    + Attend and contribute to sales meetings, at conference calls and during process improvement or training efforts. May act as presenter and/or trainer as new tools and programs are introduced.

    + Promote and communicate team successes.

    + General Administrative

    + Receptionist

    + Assist with the team and work with the Director of Business Affairs.

    + Transmit information by phone, FAX & email. Scan documents and prepare photocopies.

    + Generate business correspondence both independently and from notes. Includes business letters, memos, proposals, agendas and reports.

    + Research historic information, compare past performance to present, etc. Create reports and spreadsheets.

    + Develop filing systems and maintain archive records. Maintain backup documentation andreference reports.

    Physical Demands and Work Environment

    + The primary work environment for this position is an office.

    + The physical demands for this position include light lifting, seeing (with a focus on reading, acuity, and depth perception), and talking.

    + Nights spent away from home traveling are less than 10%.
