    • J.D. McCarty Center is looking for a Human Resource Management Specialist to assist with employee benefits, recruitment and on-boarding. Must be organized and have excellent communication, grammar, and strong phone etiquette skills. Candidate should be detailed driven and flexible. Must have computer skills and working knowledge of Microsoft Excel and Word.

     

    Salary beginning at $38,000.00 per year

    Responsibilities:

    Upon notification from the Human Resource Director, initiates recruitment for the designated position.  Confirms current job description and opens a job posting on JazzHR.

     

    Reviews the resume email for new applicants and receives any walk-in applications.  Scans and submits any emailed resume or walk-in application to the applicable current recruitment in JazzHR. Reviews all resumes/applications and confirms all applicants are eligible to be considered for employment.  If the applicant is not eligible for employment, will move the applicant to a non-selected status and notify the applicant of their application status within 24 to 48 hours of this finding.

     

    Coordinates with recruiting supervisors to assist navigating the recruiting process.  Informs the supervisor to document any reason for the non-selection of candidates during the process.  Ensures the non-selected candidates receive notification of their application status within 24 to 48 hours of the supervisor’s final decision.  Coordinates, assists, and/or completes the recruitment interview schedule to include notifying candidates of their interview times or receiving an interview schedule from the recruiting supervisor.  Notifies hospital security of the interview schedule(s) to ensure they are permitted to be on site.

     

    Prepares recruitment folders for each recruitment event and routes all necessary interview documents including resumes, to the supervisor/interviewer to use during their interview process.  Upon completion of the recruitment event, collects all recruitment data and ensures all external candidates are notified of their interview statis via JazzHR notifications.  Confirms with the supervisor/interviewer that all internal candidates have been notified and was documented on the candidates resume/application in JazzHR.

     

    Notifies and/or confirms selected candidate of position offer via telephone.  Coordinates a pre-employment meeting, employment date, and availability for orientation.  Confirms all new employee information via email to include salary, schedule, and employment start date.  Instructs selected candidate to complete their application on the State of Oklahoma Careers page or will complete the candidate’s information on the job requisition.

     

    Upon notification of position recruitment, opens a job requisition in the State of Oklahoma personnel system, WorkDay, post position as an open or internal opening, and notifies hospital staff via e-mail of the recruitment.  Request position number(s) from the Human Resource Director for the job requisition(s).

     

    Upon completion of the recruitment ensures the selected candidate is on the job requisition and begins the hiring process in the WorkDay system.  Within the WorkDay process, will move candidate through the offer process and then the hire process which creates the new employee profile.

     

    Prepares new employee documents to include salary letter, and employee folders - distributes files to appropriate departments. Preforms the pre-employment meeting with new employee(s). Ensures required items are received, documents are completed, and drug testing form is issued with instructions for completion.

     

    Completes all new employee background checks utilizing the CHIRP system prior to their start date with the hospital.  Documents completion of background checks into the Employee tracking folder for quality assurance accountability and download a copy of the results into the same folder.

     

    Enters employee data into the hospital’s timekeeping system, TCP, within 72 hours after start date.  Ensures accuracy, consistency, and completeness of employee information.  Routes all direct deposit information to the HRM-Payroll Specialist.  Files any available new employee documents into their personnel and confidential files prior to placing into the active employee file cabinets.

     

    Sends email and meets with new employees and completes benefit enrollment for longevity, insurance, and retirement.  Assist the employee to data enter their selections for insurance and retirement.  If an employee is not prepared, answer questions to assist the understanding of benefit.  Review and complete any remaining tasks in the employee’s WorkDay account.  Approve the insurance selection in WorkDay.

     

    Acts as the point of contact for all employee personal changes.  Send the change to the HR department email to ensure the designated HR team member completes the change.  Will be responsible for completing all retirement change forms for the employee change.

     

    Acts as the primary liaison for insurance benefits.  Will attend all insurance meetings, in-person or virtual.  Will send insurance updates to hospital employees, via email or paper notifications.  Will coordinate Option period enrollments to include providing clear step-by-step instructions for on-line enrollment.  Will conduct any one-to-one meetings as requested.

     

    Upon the direction of the HR Director, types internal and external correspondence for the HR Department.  These items listed above should be done within 24 hours of receipt unless other priorities require an approved delay.  Prepares internal correspondence, forms, and/or materials to be distributed.  Ensures all information is accurate.

     

    Completes clerical responsibilities within the Human Resource Department to include but not limited to filing, alphabetizing filing, distribution of information to employees, preparing various human resource packets, data entry into various human resource electronic files, updating and ensuring utilized forms are available.

     

    Will review all WorkDay tasks daily.  Will complete only the tasks that pertain to their assigned job responsibilities.  Confers with the HR Director on issues that arise and require additional attention.

     

    As determined or assigned by the Human Resource Director, may assist or attend job fairs.

     

    Upon separation of employee, removes from the active files the personnel, confidential, and HR satellite files.  Request for any and/or all hospital property employee may have at the time of notification.  Informs the separating employee that a separation and benefit letter will be sent to the address listed on their form.

     

    Serves as back up for the Customer Service Representative.  Relieve CSR for breaks and lunch.  Serves as back-up for the HR Training Coordinator during periods of unavailability.

     

    Performs other duties as assigned.
