The Department of Finance & Business Economics is an academic unit within the Foster School of Business. Under the general direction of the Department Chair, the Administrator provides comprehensive operational support, including financial management and long-term budgeting, payroll and purchasing oversight, human resources coordination, administrative leadership, and program support.
Department of Finance & Business Economics
This position is inherently complex due to the broad scope of responsibilities and the high volume of input from diverse individuals, units, and activities with often competing priorities.
Reporting to and working closely with the Department Chair, the Administrator plays a key role in strategic and budgetary planning, representing the Chair’s priorities and contributing to long-term policy development to advance departmental goals. The role requires strategic thinking, the ability to manage multiple priorities, sound judgment, and the capacity to quickly analyze and respond to financial and personnel matters.
The Administrator must balance high-level planning with hands-on oversight of day-to-day operations. Strong interpersonal and communication skills are essential, as the role involves frequent interaction with the Department Chair, faculty, staff, students, the Dean’s Office, and campus partners across the University.
This position regularly exercises independent judgment and discretion in matters related to departmental operations and holds delegated authority to make decisions with significant impact. The Administrator also serves as a key advisor to the Chair and departmental committees, offering financial expertise, operational insights, and strategic recommendations.
A high degree of professionalism, discretion, and tact is required, as the role often involves sensitive or confidential matters. The Administrator serves as the department’s primary liaison with the Dean’s Office and other University units on administrative and operational issues.
DUTIES AND RESPONSIBILITIES** **Finance and Budget Management
• Oversee the development, modification, and execution of departmental budgets, providing detailed analysis of expenditures, reimbursements, and payments across all budget categories and program activities.
• Manage all departmental accounts, including state, gift, endowment, discretionary, revenue, and scholarship budgets.
• Monitor funded and outstanding commitments, as well as revenue contributions.
• Oversee and/or perform daily and monthly financial transactions.
• Review and manage departmental program commitments such as professorships, grants, fellowships, monthly expenditures, allocations, revenue, faculty development funds, and department-held grants.
• Prepare and present budget projections, variance reports, and monthly reconciliations to the Department Chair and the Dean’s Office.
• Ensure all fiscal operations comply with approved budgets and adhere to federal, state, and institutional regulations.
• Monitor and adjust payroll to reflect changes in faculty and student assignments, ensuring alignment with UW and internal policies.
• Provide administrative oversight and compliance guidance related to awards, research funding, and financial policies.
• Serve as the department’s Workday lead, holding relevant security roles, including Initiator 2, Time & Absence Initiator and Approver, Academic Partner, Academic Chair Delegate, Costing Allocations Coordinator, and I-9 Coordinator.
Administrative and Organizational Management
• Serve as the lead administrator for the Department of Finance & Business Economics, managing operational and HR functions that support the department’s academic and research goals.
• Advise the Department Chair, Ph.D. Coordinator, and faculty on university and school policies; develop and implement departmental policies and practices.
• Collaborate with program offices, advisors, and faculty to plan and revise curriculum and annual teaching schedules. Oversee teaching assignments and classroom scheduling.
• Support academic functions including graduate programs, accreditation, student advising, course planning, and registration.
• Lead day-to-day administrative operations and foster cross-functional collaboration to advance departmental and school-wide priorities.
• Act as liaison with central offices such as Academic HR, HR, ISO, ISS, the Dean’s Office, Graduate School, Travel Office, and Payroll.
• Support the implementation of departmental strategic initiatives and planning efforts.
• Coordinate with Foster School facilities for departmental moves, renovations, and ongoing maintenance.
• Oversee departmental event planning and logistics, working with the Administrative
• Assistant on budgeting, staffing, catering, venue reservations, and travel coordination.
• Collaborate with the Ph.D. Program Coordinator to assign doctoral student appointments each quarter, balancing departmental needs with equity and transparency in communication.
Human Resources Management
• Manage human resources operations for the department, including recruitment, hiring, on boarding, and personnel administration for faculty, staff, and students.
• Oversee all hiring, appointment, and reappointment processes for faculty, lecturers, visiting scholars, classified staff, graduate students, and TAs/RAs.
• Advise and support faculty promotion, tenure, and recruitment processes.
• Execute salary actions including promotions, temporary pay increases, merit, and performance-based adjustments.
• Ensure compliance with university policies related to leave reporting, extra compensation, and outside work.
• Support recruitment and supervision of classified and temporary staff. Provide performance evaluations, mentoring, training, and corrective action guidance as needed.
• Supervise the Administrative Assistant and oversee payroll changes, leave tracking, ProCard/CTA transactions, reimbursements, and coordination of faculty visits and seminar logistics. Provide oversight for website and newsletter content management.
MINIMUM REQUIREMENTS
Bachelor's Degree in communications, business, social science or related field .
A minimum of four (4) years of management-level experience overseeing daily operations of a program or department, including financial and budget management, human resources, and administrative/organizational functions.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS
• Proven ability to communicate and collaborate effectively with a diverse group of individuals, including faculty, staff, and students from a wide range of backgrounds and disciplines.
• Demonstrated accuracy and attention to detail in all aspects of work.
• Strong and professional oral and written communication skills.
• Ability to manage constant, shifting, and often overlapping deadlines.
• Proven capacity to exercise sound independent judgment, make decisions, and solve problems effectively.
• Ability to multi-task, prioritize responsibilities, and manage a high-volume workload in a dynamic environment with frequent interruptions.
• Demonstrated experience using Workday and a broad range of its functionalities.
DESIRED QUALIFICATIONS
• Master's Degree desired.
• Knowledge of University administrative systems and human resources.
• Previous experience working in higher education setting.
• Experience in event planning and execution.
