    Summary:

    The Supervisor, Benefits plays a critical role in ensuring the effective administration and compliance of our organization's comprehensive employee benefits programs. This position leads and mentors a team of benefits specialists, overseeing the day-to-day operations of all health, welfare, and retirement plans. The Supervisor acts as a subject matter expert, a point of escalation for complex issues, and a key partner in delivering a positive and compliant benefits experience for all employees.

    Description

    1.** **Team Leadership & Development

     

    Supervise, train, mentor, and evaluate the performance of a team of Benefits Specialists. Provide guidance, support, and professional development opportunities to team members. Delegate tasks effectively and ensure equitable workload distribution among the team. Foster a collaborative, positive, and high-performing team environment. Conduct regular team meetings to share update, best practices, and address challenge.

     

    2.** **Benefits Program Administration & Oversight:

     

    Oversee the accurate and timely administration of all employee benefits programs, including but not limited to: medical, dental, vision, life, disability, flexible spending accounts (FSAs), health savings accounts (HSAs), EAPs, and wellness initiatives. Manage the administration of retirement plans (e.g., 401(k), 403(b), pension plans), including contributions, distributions, and compliance. Ensure efficient processing of new enrollments, changes, terminations, qualifying life events, and COBRA administration. Coordinate and oversee all aspects of annual Open Enrollment, including system configuration, communication development, employee education sessions, and post-enrollment audits. Manage the leave of absence process (FMLA, ADA, and state/local leave laws), ensuring compliance and proper tracking. Reconcile benefits invoices monthly/quarterly to ensure accuracy and timely payment to carriers. Serve as the primary point of escalation for complex employee benefits inquiries and issues, providing empathetic and accurate resolutions.

     

    3.** **Compliance & Reporting:

     

    Stay current with federal, state, and local benefits laws and regulations (e.g., ERISA, HIPAA, COBRA, ACA, FMLA, IRS, DOL, etc.) and ensure all benefits programs remain compliant. Assist in the preparation and submission of required compliance filings (e.g., Form 5500s, ACA reporting) and external audits. Maintain accurate benefits records and documentation in accordance with legal requirements and company policy. Develop and update benefits policies, procedures, and communication materials to ensure clarity and compliance.

     

    4.** **Vendor Management & Collaboration:

     

    Act as a key liaison with benefits vendors, brokers, and consultants to resolve administrative issues, monitor service levels, and ensure contract adherence. Participate in vendor review meetings, providing insights into operational effectiveness and employee feedback. Collaborate with Payroll, HRIS, and other internal departments to ensure seamless integration of benefits data and processes.

     

    5.** **Employee Communication & Education:

     

    Develop and deliver clear, concise, and engaging benefits communications, presentations, and educational materials to employees. Conduct new hire benefits orientation sessions. Proactively identify opportunities to improve the employee understanding and utilization of benefits.

     

    6.** **Process Improvement & HRIS Utilization:

     

    Identify and implement process improvements to enhance efficiency, accuracy, and the employee benefits experience. Leverage the HR Information System (HRIS) and benefits administration platforms to their full potential, ensuring data integrity and system optimization.
