ADMINISTRATIVE ASSISTANT II, McGovern Institute for Brain Research (MIBR), to perform diverse financial and administrative duties for Dr. Guoping Feng, Dr. Mark Harnett and Dr. Sven Dorkenwald, within the McGovern Institute. Responsibilities include managing complex calendar scheduling and travel itineraries; coordinating inventory and ordering for the lab; supporting the financial and transactional needs of the lab and the PIs; providing administrative assistance to support PI’s involvement in complex and multifaceted initiatives; processing and tracking purchase orders; processing accounting documents, e.g., requisitions, journal vouchers, travel reports, and requests for payment; maintaining systems to allow for easy retrieval of materials; assisting with the preparation of educational materials; typing and proofreading correspondence; handling confidential payroll and financial information; making meeting arrangements; arranging logistics for and coordinating meetings and seminars; helping to create and maintain lab associated website; working with headquarters' staff on all personnel transactions; distributing mail; and overseeing office and laboratory supplies.
Job Requirements
REQUIRED: High school diploma or its equivalent; a minimum of three years of related administrative/office experience; excellent analytical, problem-solving, decision making, time management, organizational, recordkeeping, communication, interpersonal, and customer service skills; ability to prioritize and multitask despite frequent interruptions and deadline pressure; meticulous attention to detail; and strong Microsoft Office (Excel, Word) skills and high-level proficiency with email management software and cloud services (Dropbox); ability to exercise independent judgment when researching and resolving complex problems; interact effectively with a diverse group of students, faculty, staff, and visitors; work both independently and as part of a team; maintain confidentiality; interpret, communicate, and apply policies and procedures; anticipate needs; and execute and follow up on tasks. PREFERRED: Bachelor’s degree; and proficiency with Google Docs, Google Calendar, Adobe Acrobat, and web publishing. Job #25059-5 This position is an in-person role, 5 days a week.
