Posting Description
ADMINISTRATIVE ASSISTANT 3, MIT Energy Initiative (MITEI), provides direct support to MITEI Director, Deputy Director and Executive Director; is the first point of contact for visitors to MITEI and oversees the flow of key administrative support functions to ensure efficient and smooth daily operations; takes ownership of complex issues and inquiries and ensures they are addressed and resolved; is the go-to person for MITEI staff and students, MITEI members and visitors for a wide variety of questions and information; provides support across MITEI functional areas and input into administration and operations procedures; assists with developing and implementing new processes and procedures and is keenly aware of the intersections of the teams within MITEI; anticipates issues to ensure MITEI operates efficiently and presents a professional workplace; assists with operational matters and facility requests for maintenance, planning and upkeep of office suites and supplies, including managing keys and card access; schedules diverse and complex appointments and meetings and travel (including international) arrangements; prepares itineraries for multiple constituents; processes travel reports; records, interprets, drafts, and distributes minutes from meetings; and may attend high-level meetings.Find the full job description here: https://energy.mit.edu/wp-content/uploads/2025/07/MITEI-Senior-Leadership-Admin-Asst.pdf
Job Requirements
REQUIRED: High school diploma or equivalent; a minimum of five years of administrative, office or related experience; ability to work under limited supervision and resolve issues that may arise; adept written and verbal communication skills; excellent organizational skills and attention to detail; time management skills; ability to successfully manage multiple priorities and deadlines; and ability to manage confidential information and/or issues using discretion. PREFERRED: Bachelor’s degree. Job #25058-6
