Description We are looking for a highly organized and detail-oriented Executive Assistant to support senior leadership in San Jose, California. As part of this long-term contract position, you will play a crucial role in ensuring the smooth operation of executive schedules, travel arrangements, and meetings. This is an excellent opportunity to contribute to the success of a dynamic team while showcasing your administrative expertise.
Responsibilities:
• Manage executive calendars, scheduling appointments and coordinating meetings with precision.
• Organize and book comprehensive travel arrangements, including flights, accommodations, and transportation.
• Coordinate travel plans to ensure seamless itineraries and address any last-minute changes.
• Prepare and arrange materials for executive meetings, ensuring all documentation is accurate and accessible.
• Serve as the primary point of contact for executive communications, handling inquiries and correspondence.
• Monitor deadlines and prioritize tasks to align with the executive's goals and commitments.
• Maintain confidentiality while handling sensitive information with discretion.
• Support other administrative tasks as needed to assist in the smooth functioning of executive operations.
• Collaborate with internal teams to facilitate efficient communication and workflow. Requirements • Proven experience as an Executive Assistant or in a similar administrative role.
• Expertise in managing complex calendars and scheduling multiple priorities.
• Strong proficiency in arranging and coordinating detailed travel itineraries.
• Excellent organizational skills and the ability to multitask in a fast-paced environment.
• Outstanding communication skills, both written and verbal.
• High level of discretion and professionalism when handling sensitive information.
• Proficiency in productivity tools and office software applications.
