The Krieger School of Arts & Sciences (KSAS) Dean’s Office is seeking an **_Administrative Project Specialist_** who provides high-level support for faculty processes. This position requires special knowledge/understanding and discretion appropriate for a Dean’s Office area(s) of responsibility and the ability to manage a fast-paced office. As a professional representative of the Dean’s office, the candidate will be a detail-oriented team player who is committed to responsiveness and customer service. This person will deal regularly with highly sensitive and, at times, urgent subject matter and will be proactive and responsive.
The Administrative Project Specialist oversees and coordinates administrative work and provides non-standard, non-routine, varied, high-level administrative expertise, including support for multiple projects. The Administrative Project Specialist utilizes extensive knowledge of the organization to successfully carry out responsibilities.
Specific Duties & Responsibilities
+ Perform varied and multiple administrative support functions for recurring and ad hoc projects and/or specialized operations.
+ Develop administrative processes and workflows.
+ Assist in planning and development.
+ Provide reports and summaries as requested.
+ Resolve administrative issues and problems.
+ Assist with business and financial processing, e.g. budget reconciliation, expense reimbursements, payment of invoices, etc.
+ Foster institutional relationships. Collaborate and liaise with individuals across the institution.
_Supplemental Information_
+ Draft, edit, and manage distribution of academic communications, including letters of intent, appointment, retention, and retirement letters, in collaboration with Vice Dean’s, and HR, to ensure accuracy and institutional alignment.
+ Oversee faculty leave processes, coordinating with the Vice Dean of Faculty and HR to ensure timely approvals, proper documentation, and compliance.
+ Maintain accurate records of faculty activity, leadership appointments, and doctoral student awards to support institutional planning and reporting.
+ Coordinate nomination processes and prepare communications for doctoral student awards, such as Dean’s Dissertation Prizes and Scholar-Teacher Awards.
+ Handle and communicate sensitive academic and personnel information with discretion and professionalism.
+ Collaborate with academic leadership and administrative units to recommend policy improvements, streamline academic workflows, and enhance operational efficiency.
Technical Qualifications and Specialized Certifications
+ Highly proficient with Microsoft Office programs, including Outlook, Word, Excel, and PowerPoint.
Minimum Qualifications
+ Bachelor's Degree.
+ Five years related experience.
+ Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
+ Experience in higher education.
+ Experience working with Dean's, executives, and faculty.

Starting Salary Range: $24.25 - $33.40 - $42.50 RLY (Commensurate w/exp.)

The listed salary range represents the minimum and maximum Johns Hopkins University offers for this position, based on a good faith estimate at the time of posting. Actual compensation will vary depending on factors such as location, skills, experience, market conditions, education, and internal equity. Not all candidates will qualify for the highest salary in the range.
