    The Scholarship and Awards Manager position will work closely with internal teams and campus-wide partners, and will cultivate strategic relationships to enhance operations and funding strategies across JSIS. The overall goals and purposes of this position are (1) to effectively manage student scholarship/award funds in order to maximize non-loan financial assistance to students, and (2) to effectively work with faculty to acquire and manage grant funding that supports faculty and staff working on initiatives that serve students and the public. This position will blend data and systems management, grant administration, and institutional partnerships. The Scholarship and Awards Manager is responsible for overseeing the development and maintenance of complex data systems and reporting tools that support student services, faculty activities, course offerings, and federally funded fellowships. The role also supports faculty in all stages of the grant lifecycle, from identifying opportunities and preparing proposals to monitoring budgets and ensuring compliance with university and sponsor policies. This position will need a collaborative mindset to support the School’s academic and outreach missions.

    DUTIES AND RESPONSIBILITIES** **Data and Systems Management

    + Collaborate with Central AST IT group to design, develop, and maintain web-based applications and databases for student applications, faculty profiles, course offerings, fellowships (e.g., FLAS), and outreach tracking

    + Identifying trends, producing reports, and making data-driven recommendations to enhance funding strategies, streamline operations, and support continuous improvement

    + Develop and maintain multiple reporting systems for complex sources of funding.

    + Manage dynamic data imports from external sources (e.g., UW course database).

    + Generate, interpret, and distribute customized reports for internal and federal reporting requirements.

    + Ensure data integrity and oversee content management across multiple JSIS systems.

    + Provide consultative support to Associate Directors and Student Services on data strategy, development, and documentation.

    + Assist with statistical and financial reporting, including journal vouchers, salary and cost transfers, and invoicing. **Grant Administration**

    + Collaborate and coordinate with Central AST Grants and Contracts to leverage grant processing and implementation.

    + Identify and disseminate funding opportunities to JSIS faculty and leadership.

    + Assist faculty with proposal development, ensuring timely submissions and compliance with sponsor guidelines.

    + Prepare proposal budgets and administrative components, completing required sponsor and university forms.

    + Interpret funding agency regulations and UW policies; ensure compliance across all submissions.

    + Serve as liaison between JSIS faculty and entities such as the Office of Sponsored Programs (OSP), Grant & Contract Accounting (GCA), College of Arts & Sciences Dean’s Office, subcontractors, and sponsors.

    + Review award documents and facilitate agreements on terms and conditions.

    + In collaboration, manage grant lifecycle activities, including budget monitoring, payroll certifications, faculty effort tracking, sub-awards, reallocating, and no-cost extensions.

    + Ensure compliance and accuracy in Workday reconciliation and effort reporting.

    + Provide detailed financial reports and budget projections to faculty PIs and the division associate directors.

    + Support the resolution of grant-related issues and ensure timely submission of reports and renewals. **Partnerships**

    + Cultivate strategic partnerships across the UW.

    + Proactively seek out opportunities for collaboration, identifying existing resources and funding mechanisms.

    + Build a robust network within the university

    + Maintaining an awareness of available programs, services, and initiatives **MINIMUM REQUIREMENTS**

    + Bachelor’s degree in Business Administration, Public Administration, Social Sciences, or a related field.

    + Minimum of two years of progressively responsible experience in data management, grant administration, or related fields within a complex organization (such as higher education or government). **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration** **ADDITIONAL REQUIREMENTS**

    + Demonstrated experience developing and maintaining databases, web-based applications, and reporting tools for tracking and analyzing data.

    + Strong working knowledge of grant administration processes, including proposal preparation, budget development, and compliance.

    + Proficiency in data analysis and visualization tools (e.g., Excel, Tableau, Power BI), with the ability to interpret and communicate findings to diverse audiences.

    + Familiarity with university systems such as Workday, SAGE, or similar enterprise platforms.

    + Demonstrated ability to manage multiple complex projects, set priorities, and meet deadlines in a dynamic environment.

    + Excellent written and verbal communication skills, with the ability to interact effectively with faculty, staff, and external stakeholders.

    + Strong attention to detail, organizational skills, and commitment to data integrity and accuracy.

    + Demonstrated ability to work both independently and collaboratively within a diverse, multidisciplinary team. **DESIRED QUALIFICATIONS**

    + Track record of building and maintaining strategic partnerships within large institutions to enhance operations, funding, or resource sharing

    + Master’s degree in Public Administration, Business, Data Science, or a related field.

    + Experience working in higher education.

    + Knowledge of federal grant funding mechanisms and regulations, including experience with programs such as FLAS (Foreign Language and Area Studies) or Title VI.

    + Familiarity with UW administrative systems, such as SAGE, Workday, or Grant Tracker.

    + Demonstrated experience with data governance, documentation, and the implementation of quality control processes. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
