    Cal-Tek is looking for a proactive and highly organizedAdministrative Assistantto join our team. This full-time role (40 hours/week) is ideal for someone who thrives in a fast-paced environment and enjoys handling a variety of administrative and operational responsibilities. This position plays a critical role in supporting office management, billing and invoicing, scheduling, and client coordination.

    Responsibilities:

    + Provide comprehensive administrative and office management support to ensure smooth daily operations in a fast-paced office environment

    + Support key financial processes, including billing, invoicing, accounts payable, and accounts receivable, in coordination with internal finance teams

    + Interpret and process customer purchase orders in accordance with company policies

    + Serve as a primary point of contact for customer inquiries, ensuring professional and timely communication

    + Maintain accurate records, reports, and filing systems; organize and archive documentation in compliance with company standards

    + Collaborate with other ATS locations to coordinate documentation and work processes

    + Perform additional administrative duties and special projects as assigned by management

    Qualifications

    + 3 - 5 years' customer service and/or relatable experience with a high school (or equivalent) diploma required

    + Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with database systems strongly preferred

    + Demonstrated ability to handle sensitive financial and client information with confidentiality and accuracy

    + Strong written and verbal communication skills; ability to communicate clearly with both internal stakeholders and external clients

    + Exceptional attention to detail with a high level of accuracy in all work performed

    + Proven ability to manage multiple tasks simultaneously and prioritize workload effectively in a dynamic environment

    + Self-starter with the ability to work independently as well as part of a team

    + Experience using standard office equipment (e.g., printers, scanners, fax machines)

    + Prior customer service or client-facing experience is highly desirable

    + Ability to learn and comply with all company policies and procedures

    + Applicants must pass a background check
