Administrative Coordinator
The Opportunity
FCA is seeking a highly organized Administrative Coordinator to support the administrative and operational functions of our clinics. This position plays a key role in maintaining office efficiency, handling insurance authorizations, and managing billing related tasks.
Responsibilities
+ Assist in managing centralized scheduling, organizing office functions, and supporting day-to-day operations.
+ Perform all front desk responsibilities including answering phones, client registration and check-ins/outs, and handling client complaints or messages and ensure timely follow-up with appropriate staff.
+ Conduct insurance verification, treatment authorizations, and related follow-ups; enter initial client billing information into the EHR and monitor monthly updates in ePACES or similar systems.
+ Complete all agency, program and regulatory reports, correspondence and other required documentation and submit it by the required deadline in electronic health record and other program operation systems
+ Function as an integral member of the inter-disciplinary treatment team and participate in team meetings, ongoing training, and in-service workshops as scheduled
+ Collaborate with the Senior Office Manager and site leadership to identify and implement improvements to office processes and systems, including onboarding and training new staff in office procedures and systems as needed.
+ Assume other tasks, projects and responsibilities assigned to support the operations of the program
Qualifications
+ Minimum of 1–2 years of administrative or office support experience, preferably in a healthcare or social services environment.
+ Knowledge of insurance authorization and billing processes is strongly preferred.
+ Experience with electronic health records (EHR), OASAS systems, and ePACES or equivalent platforms desirable.
+ Proficiency in Microsoft Office (Word, Excel, Outlook).
+ Bilingual in Spanish and English preferred.
