    Job Description

    The primary role of the Peace Officer Program Specialist is to provide a seamless student experience through the administration of Customized Training and academic Peace Officer programs. This position will involve the management of role player recruitment, employment and scheduling, along with the coordination of programs and class schedules. This position will also manage credentialing for adjunct and TPT instructors and background verification for students who completed the Peace Officer program, by maintaining student files in accordance to the Peace Officer program policies.

    PRINCIPLE RESPONSIBILITIES AND RESULTS

    1. Manage role player and adjunct/ TPT instructor process for both the Peace Officer credit and non-credit programs.

    + Develop recruiting and onboarding plan for new role players and adjunct/ TPT instructors

    + Ensure all role player employment records have been received and processed by HR prior to start

    + Manage credentialing process for all incoming adjunct and TPT instructors which includes but is not limited to: PCNs, token creation, I-9s, transcripts, work verification forms, wage notices and faculty credentialing forms.

    + Schedule role players for all academic program and Customized Training course

    + Maintain and report role player hours worked

    + Serve as point of contact for all internal needs relating to role players

    Priority: Essential Percent of Time: 45%

    2. Manage processes that impact student success within the Peace Officer academic program.

    + In partnership with Director and POST Coordinator, ensure schedules for academic program are staffed

    + Manage faculty credit hours and instructor assignments in FWM

    + Monitor registration of students throughout the enrollment process

    + Develop and maintain professional relationships to keep abreast of the program and industry needs

    + Cross train to the Customer Service role, which includes the monitoring of student documentation processes for enrollment (physical exam, driver's license, psychological exam, emergency contact information, etc.)

    + Manage background investigation process

    + Maintain student records in accordance with program policies

    + Maintain and refresh process documentation for academic program role accountabilities

    Priority: Essential Percent of Time: 25%

    3. Provide operational management for Customized Training Solutions (CTS) Peace Officer programs.

    + Work collaboratively with Customized Training Representatives to provide daily operational program management

    + Coordinate and schedule role players

    + Maintain electronic program calendars

    + Manage background investigation process

    + Monitor student documentation process for enrollment, including but not limited to: physical exam, driver's license, psychological exam, emergency contact information, etc.

    + Maintain student records in accordance with program policies

    + Compile and verify daily student attendance rosters for CTS programs

    + Assist students with registration

    + Conduct orientation specific to the Peace Officer program

    + Maintain and refresh process documentation for CTS program role accountabilities

    Priority: Essential Percent of Time: 25%

    4. Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner. Represent CTS and the academic program in appropriate internal college functions.

     

    Priority: Secondary Percent of Time: 5%

    Salary Range:

    $23.63 ($49,339) - $34.18 ($71,368)

    Minimum Qualifications

    1. Three (3) Years of experience in the following:

    + Program Management: Computer software applications and systems sufficient to enter data and create basic business correspondence, documents and training processes.

    + Data Entry: Skill in data entry sufficient to maintain accurate student records and reports; compile, sort and verify data accuracy

    + Customer Service Skills: Skill in customer service to provide prompt, courteous and accurate information to customers in person, on the phone, through email and other written correspondence; promptly respond to customer/ co-worker inquiries about registrations, programs, data, etc.; provide assistance/ guidance to customers/ co-workers on resolving difficult or complex issues

    + English: Knowledge of English sufficient to fluently speak, read, understand and respond to a variety of written and spoken communications, such as customer questions, detailed instructions, and procedures, data reports

    + Word Processing: Skill in word processing sufficient to use the software, such as Microsoft Word, to prepare and format letters, memos and reports and ability to check completed work for spelling, grammar, punctuation and formatting

    + Spreadsheets: Skill in using spreadsheet software applications, such as Microsoft Excel, Access to enter, compile, store and retrieve data in a variety of reports

    + Math: Knowledge of math sufficient to add, subtract, multiply and divide whole numbers, fractions, decimals, calculate percentages and use simple formulas and ability to compare the prices of items or groups of items

    Preferred Qualification

    + Prior leadership or management experience

    + Knowledge and familiarity with MN POST requirements, processes.

    + Knowledge of policies and procedures of the college/customized training, especially related to registration for all hour-based courses.

    + Ability to gain acceptance for ideas in order to accomplish tasks.

    + Knowledge of ISRS & rSchoolToday systems and various software programs.

    + Skills in communications and interpersonal relations sufficient to provide information to staff, students and the general public.

    + Highly organized and detail-oriented to maintain integrity in the student information system.

    + Ability to work with others in a team setting to accomplish tasks.

    + Ability to establish work priorities and ensure completion.
