Description
We are looking for a detail-oriented and organized Specialist Clerk to join our administrative team in Oakland, California. This is a long-term contract position where you will play a crucial role in supporting office operations by performing advanced clerical tasks, coordinating activities, and ensuring adherence to established policies and procedures. The ideal candidate will thrive in an organized environment and demonstrate excellent decision-making and problem-solving skills.
Responsibilities:
• Coordinate and oversee various clerical activities to ensure smooth office operations.
• Prepare and manage reports, including cost analysis and expenditure summaries, on a regular basis.
• Maintain accurate records and filing systems while ensuring confidentiality and compliance with policies.
• Communicate effectively with internal teams, vendors, and external organizations to gather and relay information.
• Order and track medical, pharmaceutical, office, and other necessary supplies and equipment.
• Assist in planning and organizing departmental activities, ensuring alignment with organizational goals.
• Utilize standard office software, including Microsoft Excel and PowerPoint, to perform data entry and create presentations.
• Perform ad hoc financial and administrative tasks as needed to support the team.
• Provide guidance and supervision to entry-level staff, ensuring adherence to quality standards.
• Uphold appropriate behavior in accordance with organizational policies and procedures.

Requirements • High school diploma or equivalent is required.
• Minimum of two years of clerical experience in a consistent role or one year in a comparable position at a similar organization.
• Proficiency in using standard office software, including Microsoft Excel and PowerPoint.
• Strong written and verbal communication skills with the ability to interact effectively across various levels of the organization.
• Proven ability to analyze information, solve problems, and make sound decisions.
• Familiarity with modern office practices, procedures, and equipment.
• Excellent organizational and planning skills to manage multiple tasks efficiently.
