Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
Knowledge of: Functions and operations required to perform the job effectively; applicable university, department, and unit policies and procedures; best practices applicable to assigned duties and responsibilities; Zoom and Microsoft Teams communication platforms; Ellucian Banner 9 and SAP enterprise resource planning software; GATO and Calico management software; Canvas learning management system; Concur Travel online booking tool; CourseLeaf CLSS curricular management system; Logi Reports reporting tool.
Skill in: Critical thinking, problem-solving, and decision-making; close and accurate attention to detail; verbal and written communication; organization and time management.
Ability to: Work as part of a team under moderate supervision; work effectively and courteously with co-workers, staff, faculty, and students; multitask, prioritize tasks effectively, and meet deadlines within a fast-paced environment; prepare clear, concise, and grammatically correct correspondence and documents; read, interpret, understand, and apply verbal and written instructions, task-related documentation, and applicable policies and procedures; utilize a personal computer and Microsoft 365; perform basic mathematical calculations.
Preferred Qualifications
+ Experience maintaining paper and electronic filing systems.
+ Experience with University systems, such as BDMS , Logi, INB , CatsWeb, Canvas, EvaluationKIT, COURSELEAF CLSS , Canva.
+ Experience interacting with university faculty, students, and staff in a working environment.
Job Description
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
+ Greet, screen, and assist office visitors.
+ Supervise student office workers by organizing, prioritizing, and directing work assignments and special projects.
+ Keep track of due dates for all assignments and projects.
+ Coordinate desktop copies of textbooks for Instructors of Record.
+ Assist in the preparation of end of semester student evaluations.
+ Manage department social media accounts.
+ Maintain room reservation system.
+ Take an active staff leadership role in the planning and coordination of annual/recurring department events including conferences, award ceremonies, and student-focused activities.
+ Co-coordinate department recruiting and display tables for various events including Bobcat Days, conferences, and special tabling opportunities.
+ Maintain and respond to inquiries sent to department email account.
+ Assist with travel requests and expense reports.
+ Assist with departmental colloquiums including reception planning, set up and breakdown.
+ Assist faculty and students as needed.
+ Attend university staff development workshops and /or training sessions as appropriate.
+ Other duties as assigned.
