Admissions Coordinator
Position Summary:
The Admissions Department has the challenging responsibility of guiding families through the emotionally difficult process of nursing home placement. The Admissions Coordinator is the first contact the public has with the LISVH. The Admissions Coordinator is welcoming, compassionate, an effective communicator and has great organization skills.
Duties of the Admissions Coordinator will include the following but are not limited to:
+ Performs the following nursing home specific duties: evaluate all candidates for admission with regard to level of care requirements in accordance with the Resource Utilization Groups (RUGS) methodology; prepares, as required by nursing home code and federal OBRA regulations, the admissions portion of the minimum data set based on the Patient Review Instrument (PRI). Uses judgment in determining, based on the information contained in the aforementioned documents, which factors are relevant for clinical and reimbursement purposes and how these factors relate to the overall case mix index of the facility.
+ Assist with the development and implementation of Quality Assurance programs for the department. Establish and monitor operational controls for compliance with regulations as outlined by NYS Department of Health, Civil Rights Review Board, NYS Veterans Affairs, etc.
+ Identify and evaluate critical admissions issues for each candidate to be used by the Admissions Committee in determining approval for admission to LISVH. Prioritize applicants on waiting list.
+ Coordinate with Business Office regarding any changes in billing requirements, resident status, and census data. Remain cognizant of bedhold policy/regulations and have the ability to assess resident's financial status.
+ Monitor and analyze computer produced reports concerning admissions, transfers and discharges to assure proper performance of duties and responsibilities of the staff.
+ Obtain insurance pre-authorization and track previous Medicare usage.
+ Identify, coordinate and schedule Dementia Screens.
+ Schedule and conduct facility tours, including follow-up with families.
+ Verify all potential admissions for Medicare insurance using our new electronic Medicare eligibility system, MVP Live by E-Solutions.
+ Verify the applicant's prescription drug coverage using the medicare.gov website. When the applicant is not enrolled in a prescription drug plan, notify Business Office to assist in enrolling applicant in an appropriate drug plan.
+ Verify all other insurances to determine if the applicant's policy is active. Verify benefits and determine if pre-certification is required.
+ Provide correspondence with families when necessary to obtain document requests by Medicaid. Assist in obtaining VA Awards letter when necessary and/or applicable. Ensure timely filling of documents with Medicaid to ensure the facility is paid for services rendered.
+ Assist with completing monthly statistics of admissions, discharges and occupancy rate.
+ Monitor inventory and the property control system. Purchase all supplies for the department and ensure proper stock levels.
+ Other duties as assigned by the Admissions Director including expanded duties and responsibilities in the capacity of Acting Director in the absence of the Director.
Qualifications:
Required Qualifications:
Bachelor’s Degree and minimum of three (3) years of administrative experience to include two (2) years’ experience working in an Admissions Department in a long term care setting. In lieu of a Bachelor’s Degree, an Associate’s Degree and five (5) years of administrative experience to include two (2) years’ experience working in an Admissions Department in a long term care setting. Working experience, knowledge and understanding of Quality Assurance and Performance Improvement (QAPI) and how it directly relates to the Admissions Department and other interdisciplinary teams.
Preferred Qualifications:
**Master’s Degree. Experience working in Long Term Care. Experience with EMR and understanding of all documentation required for the annual Department of Health and Veterans Administration survey** .

Working Conditions:
Working conditions may involve exposure to infectious disease, blood, body fluids and/or tissue as well as other unpleasant elements such as accidents, injuries and illness. May be exposed to and be required to handle varying unpredictable, emergency and crisis situations. Occasionally subjected to irregular hours and pressure due to multiple calls and inquiries.
Prior to start date, the selected candidate must meet the following requirements:
+ The selected candidate must successfully clear a background investigation.
+ Successfully complete pre-employment physical examination and obtain medical clearance from the Long Island State Veterans Home Employee Health Department.
+ Complete electronic reference check with a minimum of three (3) professional references.
+ Provide a copy of the required license(s)/certificate(s).

+ The use of Vacation or Personal Leave accruals during the first 6 months of employment will not be authorized unless prior approval has been granted by Human Resources.

+ **Essential Position:** This position has been designated as an essential position based on the duties of the job and the functions performed. This means that when the Long Island State Veterans Home is faced with an emergency, employees in such positions are required to remain at their work location or to report to work.
+ The LISVH is a 24/7 skilled nursing facility. As such, all positions are subject to changes in pass days and shifts as necessary to meet the operating needs of the facility.
+ This position may require the wearing of respiratory protection, which may prohibit the wearing of facial hair.
