    TheDepartment of Earth System Science's (ESS) goal is to understand, predict, and respond to human-caused and natural environmental change at local to global scales. ESS includes a large and growing graduate student and postdoc community.

     

    ESS is seeking an experienced student services professional to provide administrative and operational support to faculty and students as a member of the ESS administrative team. The Assistant Director of Student Services will be responsible for student services matters including tracking student degree progress and program development following Stanford defined policies and practices. The position will report to the Director of Finance and Operations.

    Your Responsibilities will include** **:

    + Independently manage all aspects of the graduate student and postdoc programs, including interpretation of policies, analysis and problem solving for oftentimes complex and sensitive issues, and advising/recommending action plans.

    + Work with the Admissions Committee to support the annual admissions processes.

    + Collaborate with ESS staff and faculty to help resolve program issues and concerns, interpret policies, and mediate complex and sensitive issues. May be tasked with evaluating and recommending program improvements.

    + Resolve multi-dimensional matters in response to students in crisis, at risk, or who have other program issues, counsel students and faculty on sensitive and confidential issues.

    + Oversee course scheduling, Stanford Bulletin entries, room scheduling, and other logistics related to academic operations. Continuously assess operations and develop recommendations to optimize.

    + Provide guidance and counsel, oversee and develop a wide range of programs and services, analyze effectiveness and make recommendations for future programs.

    + Reconcile complex issues; analyze diverse transactions from multiple sources.

    + Maintain accurate student data and records. Summarize data from multiple sources, prepare and manage reports and presentations.

    + Identify and evaluate data needs, manage the implementation and development of systems.

    + Develop and implement outreach strategies, nurture community relationships, and represent ESS at meetings and events.

    + Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, accessibility, community standards, etc., in order to guide them in making appropriate choices and decisions. May have to escalate issues to a senior advisor.

    + Serve as a subject matter expert to students, faculty, and other department staff.

    + Lead, create and contribute to development of business practices and organizational change to improve processes and workflow.

    + May oversee, analyze, and assist in financial processes and development of budgets.

    + Serve as a key member of a project team.

    + May train and supervise other staff, volunteers and temporary workers.

    **To be successful in this position, you will need** :

    + Bachelor’s degree and a minimum of three years of relevant experience, or combination of education and relevant experience.

    + Strong communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and management.

    + Advanced analysis and problem-solving skills.

    + Advanced computer skills, including experience with Microsoft Office Suite and Google Drive.

    + Advanced customer service skills.

    + Relevant computer systems/technology experience.

    + Understanding of financial transactions.

    + Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.

    **In addition, our preferred qualifications include** :

    + Knowledge of Stanford University systems and policies.

    Physical Requirements

    + Frequently sit, perform desk-based computer tasks.

    + Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.

    The expected pay range for this position is $94,998 to $112,502 per annum.

     

    Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
