    Description

    Friedman Real Estate is seeking an experienced, detail-oriented, and proactiveService Managerto lead our Mechanical Division's service operations. This leadership role will oversee the performance, training, and development of our field service technicians while ensuring the highest standards in customer service and operational efficiency. This individual will be responsible for aligning service operations with company goals, managing administrative functions, and serving as a key liaison between technicians, vendors, clients, and internal departments.

     

    This is a great opportunity for someone with a strong background in HVAC, mechanical services, or facility operations who is passionate about driving operational excellence, safety, and customer satisfaction.

    Key Responsibilities:

    Service Operations Oversight

     

    + Schedule and dispatch technician daily work orders for repairs while ensuring the scope of work and time requirements are well communicated

    + Partner with Field Supervisor & Director of Facilities to prepare bi-weekly technician schedule

    + Proactively distribute work orders for jobs daily

    + Audit daily work orders and confirm all services are accurately billed.

    + Review field service quotes, ensure alignment with scope, and manage quote approval processes.

    + Order, track, and manage parts for technicians to ensure timely job completion.

    + Maintain accuracy of maintenance hours as per customer contracts and service agreements.

    + Maintain and update customer equipment records and service history across platforms (including ServiceTitan).

    + Manage department fleet services and ensure vehicles are maintained and compliant.

     

    Customer Service & Communication

     

    + Act as the point of contact for escalated service issues and ensure long-term resolutions.

    + Partner with Property Managers and Client Service Representatives to ensure seamless service delivery.

    + Respond to customer inquiries with professionalism and urgency.

    + Coach the Service Team to ensure 100% client satisfaction and continuous performance improvement.

    + Collect and communicate feedback to improve service delivery and client satisfaction.

     

    Administrative & Financial Tasks

     

    + Review and code vendor invoices; ensure proper assignment to jobs and timely submission to accounting.

    + Audit service jobs to verify documentation accuracy, labor/material usage, and invoicing.

    + Close out daily accounting batches; assist with accounts receivable and collections follow-ups.

    + Set up new customers and service agreements in the system; maintain service data integrity.

    + Transfer technician notes and job data between service platforms (ServiceTitan, spreadsheets, etc.).

     

    Other

     

    + Stay current with industry best practices in mechanical services and customer service operations.

    + Assist with various administrative functions and other duties as assigned.

    Qualifications:

    + High school diploma or equivalent required; trade school or college coursework preferred.

    + 5+ years of experience in HVAC, mechanical services, or facilities management; supervisory or management experience strongly preferred.

    + Strong understanding of service operations, billing practices, and technician scheduling.

    + Proficiency with Microsoft Office (Excel, Word, Outlook); experience with ServiceTitan strongly desired.

    + Excellent communication, leadership, and problem-solving skills.

    + Ability to manage multiple priorities in a fast-paced, service-oriented environment.

    + Strong attention to detail and commitment to process improvement.
