    Description of Duties:

    As a member of the Office of Sponsored Programs Administration (SPA) Pre-Award Services unit, the Junior Research Administrator (JRA) actively contributes to the Proposals Management, Award Establishment and Management, and Contracts Management teams, with a primary focus on proposal functions. The JRA will serve as a point of contact for faculty seeking external funding and will be responsible for working with faculty and research staff to help obtain, prepare, and review sponsor and campus documentation required to support proposal submission. The JRA will contribute to the fast-paced and dynamic Pre-Award Services unit by providing exceptional support for the University's research community by addressing inquiries about funding opportunities, facilitating proposal preparation, assisting with incoming award acceptance procedures, and carrying-out post-award non-financial administrative tasks.

     

    + Assist faculty and research staff with proposal preparation for a variety of grant and contract opportunities from federal and state agencies, private philanthropic foundations, corporate, and industry sponsors. The JRA will: review funding program guidelines and communicate proposal requirements; initiate and maintain proposal records in SPA business systems; assist with budget preparation and verify cost-share commitment, when applicable; obtain and upload proposal documentation into sponsor portals; and review proposal documentation prior to submission to ensure compliance with applicable government regulations, sponsor guidelines, and the Research Foundation (RF) and University policies and procedures.

    + Work with sponsors, faculty, campus research staff, and Pre-Award Services colleagues to facilitate incoming award acceptance, account establishment, and non-financial post-award administrative tasks. The JRA will: provide "just-in-time" proposal and budget revisions, when requested by sponsors; address inquiries and support award modification requests; help complete and submit programmatic reports to sponsors; and initiate amendment documentation for Contracts' team review.

    + Maintain accurate proposal and award records in SPA business systems throughout all phases of the proposal and award lifecycle. The JRA will: develop and update proposal checklists with faculty; complete weekly status reports to ensure timely and successful proposal submission and effective workload management; navigate proposal compliance considerations and award administration matters in consultation with Pre-Award Services leadership.

    + Implement existing and emerging standard operation procedures and practices while contributing to SPA's commitment to continual process improvement. The JRA will: engage as a member of the University's research community by attending research-related campus events, professional development programming, and Pre-Award Services and SPA staff meetings.

    Job Requirements:

    Minimum Requirements:

    + Bachelor's degree from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization and 2 years of experience in an administrative position; OR an Associate's degree and 4 years of experience in an administrative position; OR High School Diploma and 6 years of experience in an administrative position.

    + Experience using Microsoft Office products.

    + Experience using online business systems, such as Oracle.

    + Must be self-directed, possess good judgement and problem-solving skills, and be comfortable in a fast paced, deadline driven environment.

    + Ability to interact effectively with a diverse constituency and be customer service oriented.

    + Strong written and verbal communication skills.

    Preferred Requirements:

    + Professional experience in higher education administration.

    + Professional experience in research, contract administration, or a related field.

    + Knowledge of Uniform Guidance and/or regulations that govern federally funded programs research.

    Additional Information:

    Salary Range: $55,000 - $62,000 (DOE)

     

    Subject to change: This position may be eligible for up to 50% alternative workplace arrangement (Hybrid) with supervisor approval with in-person requirement located in Albany, New York.
