Job Skills / Requirements
Sunstates Security is currently hiring an Administrative Assistant to be based out of our regional office in Greensboro, NC and support operations for the region. The Administrative Assistant provides essential administrative and clerical support to ensure efficient daily operations for a physical security services provider. This role involves coordinating office activities, maintaining accurate records, assisting with scheduling, supporting HR processes, and providing exceptional internal and external customer service.
This is an in-person, in-office role - not remote or hybrid.
This position offers a base salary of $50,000 - PLUS an annual performance-based bonus, full medical, dental, and vision insurance coverage, generous PTO, 401k plan with company match, tuition assistance, and much more.
GENERAL RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
+ Perform general administrative tasks, including answering phones, managing emails, and greeting visitors.
+ Assist with scheduling security officers, coordinating shift changes, and updating rosters as needed.
+ Conduct onboarding for new hires, including preparing new hire paperwork, verifying required credentials, and ensuring compliance with company and client requirements.
+ Schedule and coordinate employee training sessions, including initial orientation and ongoing training requirements.
+ Maintain accurate and up-to-date personnel files, training records, certifications, and compliance documents.
+ Support recruiting activities as needed, such as posting job ads and coordinating interviews.
+ Assist management with generating reports and tracking key metrics related to security operations.
+ Serve as a point of contact for client and employee inquiries, directing them appropriately.
+ Ensure all sensitive information is handled confidentially and in compliance with company policies.
+ Perform other administrative duties as assigned.

REQUIREMENTS:
+ High school diploma or equivalent (Associate degree or relevant certification preferred).
+ 2+ years of administrative experience; experience in a security or service industry is a plus.
+ Strong organizational skills with the ability to multitask and prioritize effectively.
+ Excellent written and verbal communication skills.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
+ High attention to detail and accuracy.
+ Ability to work independently and as part of a team.
+ Professional demeanor with a customer service mindset.
+ Must pass any required background check and screening.
