    What will you do?

     

    As a CRM Coordinator, you’ll lead the day-to-day execution of our HubSpot CRM rollout, working closely with our marketing and business development teams to ensure the system is configured for success, data is clean and actionable, and internal users are fully supported and trained.

     

    This is a unique opportunity to make a measurable impact on the way our firm communicates, nurtures relationships, and tracks engagement across the client journey.

    Key responsibilities include:

    • Supporting the setup, configuration, and rollout of HubSpot CRM

    • Assisting with contact imports, deduplication, segmentation, and data cleanup

    • Collaborating with internal stakeholders to define fields, properties, workflows, and list structures

    • Creating and maintaining documentation on CRM processes and best practices

    • Training internal users on the platform via video calls, help guides, and one-on-one support

    • Building dashboards, reports, and views to monitor usage and campaign performance

    • Driving continuous improvement of marketing and operational workflows in HubSpot based on performance insights and user feedback

    • Serving as a technical liaison between the marketing team and CRM support

    Work Arrangement

    • Hybrid work model: at least 3 days per week in our downtown Portland office (Tues–Thurs)

    • Flexible remote days (Mon & Fri)

    • Occasional evening/weekend support may be needed for marketing events (not primary)

    Requirements

    Who Should Apply?

     

    We’re looking for someone who can work independently, communicate proactively, and bring structure to a fast-moving implementation process.

     

    • 3–5 years of experience in a CRM or marketing support role

    • Hands-on experience with HubSpot required

    • Experience assisting in CRM implementation or rollout projects

    • Strong attention to detail and a love for clean, accurate data

    • Experience with list segmentation, contact management, and leveraging reporting tools to uncover actionable insights

    • Ability to communicate effectively across teams and support user adoption

    • Comfort with training others on how to use the platform, including creating documentation and delivering one-on-one or small group support

    • Experience in professional services or with client relationship systems is a bonus
