UW’s Department of Surgery Staff HR Team has an exciting opportunity for a 1.0 FTE HR Staff Specialist. The Department of Surgery is a large clinical department within the UW School of Medicine.** **POSITION PURPOSE
•The department’s Staff HR team is comprised of 3.5 FTE overseeing, managing and providing support to all departmental staff HR activities. HR services in the Department of Surgery are centralized and the team acts on behalf of the department for all HR activities. The team consults and advises department management on staffing and compensation issues, ensures compliance to all rules and policies, and develops programs and initiatives to enhance belonging, inclusiveness and professional growth. dfThe staff HR specialist will be involved in all aspects of departmental HR activities and will assume the lead on identified HR-related activities, as example they will organize and lead the annual staff evaluation process. “

To ensure our people are our strongest asset, we need robust HR functions. HR can either be a “resource” for a department or a substantial bottleneck. This position will increase HR’s ability to be an effective resource. Our team believes that HR is much more than “box-ticking” – though compliance and running things by the rules is important- but it is taking each person in our department and doing our utmost to ensure a successful and growing experience.
We strive for systems that will inform us and our customers; we offer programs to ensure growth (e.g., Promotions Pathways – our own internal program), fairness and transparency with pay practices, and creativity to keep individuals engaged and happy. We do not do this alone; line supervisors and our whole administrative team have their own parts to play; but HR provides leadership over many of these areas. The Department of Surgery is among the largest clinical departments within the School of Medicine, and its strategic and financial impact on UW Medicine are disproportionately greater than the size of the department. The department has grown substantially over the last 3-4 years, by about 25% -- and we continue to appropriately, but rapidly, add faculty, programs, and staff. As of January 2025, the Department composition is 151 paid professorial track academic faculty located at all the UW clinical sites; 161 clinical faculty located throughout the community and WWAMI region; Four (4) ACGME residency programs (General Surgery, Plastic Surgery, Cardiothoracic Surgery and Vascular Surgery) with 107 residents in these four programs. 20 ACGME and Research Fellowships; 150 administrative and research staff. DUTIES AND RESPONSIBILITIES
As an integral member of the team, the HR Staff Specialist collaborates/works to provide the following:
HR Operational Responsibilities = 40%, including:
• Transact Workday activities with respect to hiring, payroll, leave, FTE changes, and terminations
• Manage own portfolio of a variety of HR questions and issues.
Data Management: Implementation Tracking & Maintenance = 30%, including:
• Digital management of HR information for compliance
• Create and manage Standard Operating Procedures (SOP) manual
• Plan & execute trainings on HR processes with department customers
HR Projects & Special Assignments = 30%, including:
• Suggest and initiate process improvement for HR workflows
• Manage volunteer process for the department
• Initiate improvements to HR intranet site (SURG HR HUB)
• Serve on Employee Recognition Committee
The successful candidate will be skilled at identifying areas of improvement in HR processes and compliance, but also providing successful and growth experiences for customers.
MINIMUM REQUIREMENTS
• BA in Business, HR Management, or other applicable degrees
• 2 years’ experience working in an HR or other administrative capacity
ADDITIONAL REQUIREMENTS
• Excellent time management and ability to meet deadlines
• Must work well with a small team; ability and willingness to step in to assist with HR activities when other team members are out
• Ability to put complex information into easily understandable formats for our customers
• Interested and engaged in HR activities for the long-term
• Ability to create confidence and safety in our HR processes and systems
• Willingness to lead or support presentations
DESIRED QUALIFICATIONS
• Previous experience with Workday HRP
• Data management skills on various platforms
CONDITIONS OF EMPLOYMENT
• Telework available 3- 4 days per week
