Description We are looking for a highly organized and proactive Executive Assistant/HR Admin to join our team in Grand Rapids, Michigan. This role combines executive-level support, travel coordination, event planning, and human resources administration to ensure smooth operations across multiple areas of the business. Responsibilities:
• Coordinate and manage complex domestic and international travel arrangements, including booking flights, accommodations, and transportation.
• Organize company-wide events such as team-building activities, training sessions, and celebrations, ensuring seamless execution.
• Maintain accurate expense reports related to travel and monitor schedules for adjustments as needed.
• Assist with payroll processes, including the collection and verification of timesheets and maintaining precise records.
• Facilitate onboarding procedures by preparing employee files, scheduling new activities, and ensuring all documentation is completed.
• Manage leave of absence requests and workers’ compensation claims while maintaining confidentiality and compliance.
• Build and maintain vendor relationships to support event logistics, including catering and venue arrangements.
• Provide administrative support to the HR department, ensuring accurate and efficient handling of sensitive information.
• Oversee event budgets and timelines, ensuring alignment with company policies and goals.
• Contribute to improving operational processes and procedures to enhance efficiency across executive and HR functions. Requirements • Minimum of 3-5 years of experience in an Executive Assistant, Administrative Assistant, or similar role.
• Familiarity with HR processes, including payroll, onboarding, and leave management.
• Advanced organizational skills with the ability to manage multiple priorities and deadlines.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with payroll or HR systems.
• Strong communication skills with the ability to interact professionally across all levels of the organization.
• High attention to detail in managing schedules, events, and HR-related documentation.
• Bachelor’s degree in Business Administration, Human Resources, or a related field is preferred.
• Experience in planning and organizing events is a plus.
