Alumni Relations Coordinator

The Office of Alumni Relations and Annual Giving is seeking applicants for an Alumni Relations Coordinator. The Coordinator will provide support to the Office of Alumni & Constituent Relations, including assisting with or preparing formal written or electronic correspondence, answering phone calls, coordinating travel arrangements, developing and maintaining office files and budget reports, as well as inputting alumni information into the record management system. This is a full time, benefitted position located in Winchester, VA.
Alumni Board
+ Provide support in preparation for annual Fall and Spring Alumni Board meetings
+ Create a Bi-weekly Alumni Board Buzz for AVP of Alumni Relations and Annual Giving to send to the Alumni Board.
+ Create Alumni Connectors Newsletter
+ Create monthly meeting minutes for the committee meetings
+ Send monthly email meeting reminders
+ Create Zoom meetings for calls
+ Manage communication and materials distributed to board members
+ On-boarding of new members which includes
+ Ordering Polo/name tag
+ Documentation
+ Serve as the liaison to one of the committees of the Shenandoah University Alumni Board of Directors.
+ Organize and manage Board Member volunteer tasks at events
Dayton Alumni Committee
+ Initial contact for Dayton Alumni Committee
+ Call and send email reminders for Dayton Alumni Committee meetings
+ Keep track of meeting minutes
+ Send meeting minutes to Dayton Alumni Committee
Communications
+ Assist the Associate Director of Alumni Communications with all communications
+ Class Notes
+ Dayton Alumni Scholarship
+ Distinguished Alumni Awards
+ Emails
+ Social Media
+ Resolutions
+ Other duties as assigned
+ Coordinates alumni recognition programs such as the Outstanding Alumni Award, as assigned.
+ Writing Successful Alumni Profiles
+ Coordinate the coverage of all alumni events with photos and video to promote excitement and alumni involvement.
+ Document contacts (stories, profiles and biographical updates) with alumni in Blackbaud’s Raiser’s Edge.
Events
+ Submits event information to SUN-e and Events Calendar
+ Coordinate the coverage of all alumni events with photos and video by submitting OMC request forms
+ Assist with alumni functions including recognition and awards, reunions, homecoming, alumni and/or student relations, and other special events.
+ Work withAssociate Director of Alumni Events to manage event budgets
+ Create events in Raiser’s Edge NXT
+ Create event registrations in Online Express and Net Community
+ Manage attendance throughout the registration process
+ Assist with putting together packets and information needed for participants
+ Help the AD of Events with project management
Data-Entry
Budget Management and other administrative duties
+ Serve as the initial contact for Alumni
+ Budget management, which Includes PO’s, p cards, requisitions, basic financial organization
+ Preparation and submission of all purchasing card statements to Accounts Payable
+ Generating requisition forms and other paperwork for the office
+ Line item expenditure reporting for Alumni budget
+ Preparing mailings and birthday cards
+ Preparing Future Hornet onesies and Shenandoah Sweethearts frames
+ Answering the main phone line for the office and responding to alumni in a timely manner
+ Place orders for giveaways, event materials, office supplies, items needed for the Alumni Office
+ Assists with the management of the Assistant Vice President of Alumni Relations and Annual Giving Calendar
+ Project Management
+ Assist the Alumni Office in planning, organizing and managing the projects, initiatives, and events.
Required Skills
+ Bachelor's degree required.
+ Experience in alumni relations, development, or a related field preferred.
+ Strong organizational, communication, and interpersonal skills.
+ Proficiency in database management (Raiser's Edge NXT) and online platforms (Online Express, Net Community).
+ Experience with project management principles and tools.
