The Department of Surgery has an exciting opportunity for a Senior Practice Manager position. The incumbent directs and maintains all aspects of the daily activities of the practice for its successful operation, which includes the efficient and timely scheduling of patients for clinics and surgeries. Moreover, the Senior Practice Manager develops, trains, coordinates, and recruits personnel for the practice to ensure that all offices are properly staffed and operational. Additionally, the incumbent supervises scheduling support staff for physicians to ensure patient access and satisfaction, and effective and efficient coordination of outpatient appointments.
CORE JOB FUNCTIONS
+ Manages and coordinates the activities of office and clinic personnel.
+ Approves time and attendance documents.
+ Oversees recommendations for hires, transfers, promotions, and terminations, and trains and evaluates all positions for the practice.
+ Maintains and adjusts job descriptions for department staff.
+ Sets goals and objectives for support staff and evaluates their performance.
+ Trains or facilitates the training of personnel within the assigned division(s).
+ Participates in customer service and leadership training.
+ Attends University meetings regarding UCare, Epic implementation, HIPAA compliance, and third-party payor contracts.
+ Develops and implements an inventory control system for supplies and materials required by the practice.
+ Oversees employee, patient, and physician relations and problem resolution as it occurs in the offices.
+ Ensures compliance with University policies and procedures.
+ Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
+ Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS .
+ Bachelor’s degree in relevant field or substantial experience in lieu of education.
+ Minimum 5 years of relevant experience
DEPARTMENT ADDENDUM
Department Specific Functions
This position oversees ambulatory access to cancer service lines. The role requires independent judgment and discretion concerning priorities of multidisciplinary cancer care. The Sr. Practice Manager will work with executive leadership, Division Chiefs and physicians in identifying issues relating to access that create barriers to patient flow/patient experience. The Sr. Practice manager also interfaces with external entities such as third-party payers, international services, regulatory agencies, other health care institutions, vendors, patients and families.
+ Plans, organizes clinic templates to accommodate daily expected volumes; works with clinic leaders in monitoring patient flow and communicates any issues to satellite leaders relative to patient access/patient experience.
+ Timely resolution to clinic changes requests, ensuring the least number of patients are affected, monitoring compliance of make-up clinics when clinic closures are required and communicating issues affecting access to executive team, Division Chiefs and providers.
+ Accomplishes departmental human resource objectives by recruiting, selecting, orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, and appraising, and reviewing job contributions; planning and reviewing compensation actions; enforcing policies and procedures.
+ Enhances patient care delivery system by providing departmental function interface with clinics and professional staff.
+ Work with satellite service leaders on identify opportunities, patient experience and access improvement by communicating with divisional providers on issues impacting the practice such as space, nursing support, access and navigation services.
+ Ensure clinic encounters are closed, referral and authorization obtained, and inbox messages addressed within assigned unit/division.
+ Enhances patient care delivery system by providing departmental function interface with clinics and professional staff.
+ Understand and manage clinical schedules for various provider groups, working closely with the APP manager to ensure effective collaboration between Physicians and Advanced Practice Providers (APPs).
+ Work and partner with the other functional units of the organization to work toward a collective goal and vision.
+ Oversees the daily flow of patient care across all ambulatory sites with the goal of increasing access.
+ Responsible for submitting physician leave requests and clinic closures.
+ Work in conjunction with Department Administrators on patient access optimization strategies on streamlining wait list, escalation tactics and clinic operation efficiencies
+ Participates in all ambulatory operations project initiatives.
+ Participates in opening of new practices and provider deployment.
+ Other duties as assigned.
