Job Description
The Project Coordinator II is responsible for administrative, project, and program support activities for the Division of Newborn Medicine. The Coordinator will also assist with divisional workflow, special projects, and research. This individual has experience in healthcare administration, communications, and project coordination. Selected candidate will typically report to a division head, vice president, or higher-level executive.
Qualifications
Education Requirements
Bachelor's degree required. Master?s degree in life science, informatics, population health or related field preferred.
Experience Requirements
3+ years of experience in program coordination or project management
Strong organizational, communication, and problem solving skills
Intermediate or advanced in Microsoft Office Suite
Work Environment
General office environment with some time in clinical spaces
Hybrid schedule (3 days onsite)

Responsibilities
Programmatic Responsibilities
+ Creates and executes complex project plans under supervision of the divisional leadership
+ Develops agendas, transcribes and distributes minutes, designs presentations, maintains project trackers, leads meetings
+ Gathers, tracks, and synthesizes information/data for projects and programs
+ Supports guideline and policy development, monitors review cycles/compliance, and updates materials
+ Coordinates research activities including sponsor visits, data collection, data submission, and communication with study team members and parents
+ Facilitates development and printing of promotional/educational materials
+ Supports NICU Follow-Up, Chronic Lung, and Safe Sleep program operations, scheduling, and process improvement initiatives
+ Serves as communication liaison with different teams, stakeholders, and external organizations; coordinates communication with outside hospitals and community outpatient physicians
+ Plans logistical arrangements for site visits, forums, conferences, seminars, meetings and/or visiting professorships
+ Assists with grant applications, special projects, and survey preparations
Administrative Responsibilities
+ Provides high-level administrative support to Newborn Medicine System Chief, Mount Sinai West Site Director, Follow-up Clinic Director, and Divisional Director
+ Assists in maintaining and monitoring budget and grant allocations
+ Requisitions merchandise from suppliers and collaborates with Purchasing to secure the best pricing for equipment and supplies
+ Tracks expiration of vendors’ contracts and renews as needed
+ Mentors, trains and/or conducts orientation for new office support staff
+ Coordinates administrative general office coverage support
+ Manages calendars and assists with special events planning
+ Ensures adequate restock of supplies for Department
+ Perform additional duties and projects as assigned

Compensation Statement
Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $64526.72 - $74250 Annually. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
