    General Description

    The eligible list resulting from this exam will be used to fill vacancies at both the City of Rochester and the Rochester Housing Authority.

     

    City of Rochester Salary Range: $40,229 - $50,789

     

    Rochester Housing Authority Salary Range: $32,000 - $44,000

     

    This is a clerical position involving the independent performance of higher-level clerical tasks. Employees of this class may exercise supervision or guidance over a small number of clerks and may train a small number of clerks in the procedures used for that section. General supervision is received from a higher-level employee who is available to handle difficult technical or policy problems. Performs related work as required.

     

    Typical Work Activities

     

    + Prepares, types and maintains material such as correspondence or narrative reports using a personal computer;

    + Prepares and maintains alphabetical, numerical or personnel files;

    + Copies, sorts, distributes and files materials in a manual filing system;

    + Obtains and gives out information in documents, records and files;

    + Checks a variety of financial and statistical records and reports for accuracy and completeness;

    + Enters information onto standard forms such as payroll or production records, authorization, certification, etc.;

    + Answers routine questions by phone and in person;

    + Schedules meetings and assembles material;

    + May supervise or guide subordinates in the performance of their duties;

    + May train subordinates in the procedures and functions of the section.

    Minimum Qualifications

    High school diploma or Equivalent, AND

    I. Associate's degree in Business management, secretarial science, office technology, or closely related field, AND one (1) year of full-time clerical experience (or its part-

     

    time equivalent) which included entering data into a personal computer.

    OR

    II. Three (3) years of full-time clerical experience (or its part-time equivalent) which included entering data into a personal computer.

    *Candidates who expect to receive this degree or diploma by August 1, 2025, may participate in the examination. If successful on the examination, you will not be certified for appointment until you have submitted proof of completion of the requirements to the City of Rochester Examination Administration Unit. Proof must be submitted no later than 2 (two) months after the completion of your degree or diploma; failure to do so will result in the removal of your name from this list.

     

    Exam Information

     

    Scopes/Subjects of Examination: A test designed to evaluate knowledge, skills and/or abilities in the following areas.

     

    SPELLING: These questions test for the ability to spell words that are used in written business communications.

     

    GRAMMAR, USAGE, PUNCTUATION: The grammar and usage questions test for the ability to apply basic rules of grammar and usage. The punctuation questions test for a knowledge of the correct placement of punctuation marks in sentences.

     

    KEYBOARDING PRACTICES: These questions test for a knowledge of preferred practices in such areas as letter format, capitalization, hyphenation, plurals, possessives, word division, word and figure style for numbers, and common proofreading marks. In addition, you will be given a passage to proofread and asked questions about how to correct the errors in the passage.

     

    OFFICE RECORD KEEPING: These questions evaluate your ability to perform common office record keeping tasks. The test consists of two or more “sets” of questions, each set concerning a different problem. Typical record keeping problems might involve the organization or collation of data from several sources; scheduling; maintaining a record system using running balances; or completion of a table summarizing data using totals, subtotals, averages and percents.

     

    OFFICE PRACTICES: These questions test for a knowledge of generally agreed upon practices governing the handling of situations which office support staff, typists, and secretaries encounter in their work, as well as a knowledge of efficient and effective methods used to accomplish office tasks. The questions will cover such topics as planning workflow; setting priorities; dealing effectively with staff, visitors, and callers; filing and retrieving information; safeguarding confidentiality; using office equipment; and making procedural decisions and recommendations which contribute to a well-managed office.
