    As a Senior Administrative Assistant in Consumer and Community Banking-Chase Auto Business Oversight (CABO), you will be part of a collaborative and fast-paced team environment. You will engage with all members of the CABO team and support other senior leaders throughout the Auto organization across Retail and Commercial Sales, Underwriting and Operations.

     

    Fundamental requirements include management of procedures, processes, and techniques relevant to tasks such as invoice processing, document management, meeting coordination, equipment orders, and projects. In support of Retail and Commercial Sales, responsibilities may also include submission of approval requests related to charitable contributions or client related/promotional events. Attention to detail is be essential to be proactive in executing job duties and maintaining efficient operations that support the team's success.

    Job Responsibilities:

    + Process invoices, T&E expense claims, requests for Charitable Contributions/Event Spend ensuring compliance with policies

    + Monitor T&E Budget tracking and approvals; book travel

    + Timely handling of purchase orders and vendor inquiries as applicable

    + Maintain department documents, including records retention, audit updates, and organizational charts.

    + Order and oversee office supplies to ensure availability and cost-effectiveness.

    + Coordinate staff onboarding and offboarding, including equipment setup and system access requests.

    + Organize meetings and events, handling logistics such as securing rooms, catering orders, building access, and transportation.

    + Monitor vacation time for team members, ensuring time is properly tracked and used throughout the year

    + Schedule and manage complex calendars, including group meetings and executive appointments.

    + Communicate effectively, verbally and in writing

    Required qualifications, capabilities, and skills

    + At least five years of administrative experience

    + Advanced ability to organize

    + Good judgment, and proven experience interacting with senior management

    + Strong interpersonal, written, and oral communication skills

    + Strong proficiency in Microsoft Office

    + Ability to manage competing priorities i.e. calendar management

    Preferred qualifications, capabilities, and skills

    + Experience supporting at the Managing Director level (or equivalent) or above

    + College degree is a plus

     

    Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
