    Position Title:

    Senior Staff Specialist

    Organization:

    Office of International Education & Global Programs

    Job Responsibilities:

    + Provide high-level and confidential administrative support to the Associate Provost for International Education and Global Programs including:

    + Scheduling meetings (often includes meetings across multiple time-zones, outreach to non-RIT employees, and coordination of committees);

    + Communication to international partners and RIT admin/faculty/staff;

    + Editing and preparing official correspondence on behalf of the Associate Provost;

    + Daily calendar review and coordination;

    + Executive committee and board meeting notetaking;

    + Coordination of travel arrangements (includes international travel) including flights, accommodations, transportation, visa requirements, preparing travel/meeting agendas, and reimbursements.

    + Financial support responsibilities including:

    + Preparing travel expense reports for faculty and staff on assignment for Global Delivery Corporation.

    + Management of multiple PNC Credit Cards/Travel Cards for purposes of office expenses as well as those used to support study abroad programming at RIT Croatia, RIT LA, and used by faculty during study abroad programming. Includes oversight of proper card use/procedures, receipt management and monthly statement preparation.

    + Process accounts payable transactions including coordination of vendor setup in PaymentWorks, prepare invoices for payment, process purchase orders and chargeback forms, prepare student reimbursements and research stipends.

    + Provide direct support to the Director of Global Programs and International Partnerships through responsibilities including:

    + Supporting international visitors and delegations through coordination of event/meeting planning, communication with partners and faculty/staff across campus, assisting with travel and hotel reservations, and hospitality.

    + Assist in drafting of International Partnership Agreements and management of agreement tracking system.

    + Oversee office processes and work areas, copier, ordering supplies and maintain storage area.

    + Work with various departments on campus, such as facilities management and telecom services, to maintain a highly functioning office environment.

    + Perform special projects as assigned.

    Education/Experience:

    + Associate’s degree or equivalent experience and 2 years of administrative support experience

    + An equivalent combination of education and experience may be considered.

    Skills:

    + Must have strong organizational skills, accuracy and attention to detail.

    + Must be highly flexible and able work in a fast paced, high energy work environment.

    + Demonstrated ability to work with confidential information.

    + Must be able to work confidently with desktop applications, databases and financial systems.

    Job Summary:

    This position provides direct administrative support to the Associate Provost of International Education and Global Programs. The position also provides support to the staff of the Office of International Education and Global Programs (RIT Global), providing assistance with office functions such as international visitors, front desk coordination, ordering of office supplies, coordination of office credit cards, processing of purchasing requisitions, travel expense reports and other forms of vendor payment in support of international education programming. As such, the primary responsibility for this position is to provide excellent customer service to both internal and external customers of the RIT Global Office.
