Some of what you'll be doing:
As a Tourism Development Specialist, you will perform complex administrative support functions that support the Tourism department's goal of driving visitor-related economic impact to Seattle, King County, and Washington State connected to the Port’s aviation and maritime businesses. You will be maintaining department records, facilitating internal Port processes and engaging with local partners regarding tourism programs such as the Tourism Marketing Support Program grants.
+ You will provide complex administrative support functions requiring expert level use of Port software solutions, regular interpretation of established policies and procedures, knowledge of department or program functions, security and confidentiality, and management of both internal and external resources.
+ You will serve as a point of contact for incoming communications and provide technology coordinator duties including advanced SharePoint support.
+ You will act as the main point-of-contact for Tourism Marketing Support Program (TMSP) grants including organizing informational meetings, setting timelines, maintaining records, tracking progress, assembling final reports, and communicating with partners to ensure their successful participation.
+ You will act as department liaison with the Central Procurement Office (CPO), make purchases via corporate purchase card (P-Card), and ensure appropriate use and documentation determined by CPO.
+ You will provide complex contracting support by preparing draft documents, ensuring conformance with current CPO policies, submitting purchase requisitions, preparing invoices for payment, and tracking and monitoring contract status.
+ You will assist in planning, execution and tracking of tourism development activities such as familiarization tours, sales missions, marketing campaigns, maintaining web content, and researching hospitality and tourism-related businesses.
+ You will perform complex budget responsibilities including inputting, monitoring, reporting, preparing and making recommendations for a department with multiple chart fields, research and report on budget variances. You will also prepare tourism expense reports in Concur.
+ You will provide complex calendar management including facilitation of inclusion of tourism department items on the Commission agenda as needed.
+ You will lead other department administrative staff by providing assistance, prioritizing work assignments and monitoring the quality of work as needed.
Who you are:
+ **Experienced** – You have four (4) years of experience performing administrative responsibilities including project coordination, purchasing, and/or supporting a team.
+ **Desired** – We hope you have experience working with organizations with a focus on tourism and hospitality promotion, travel media and/or destination stewardship. Familiarity with tourism industry specific software including customer relations management (CRM) such as Simple view or itinerary-building tools like Travefy is a plus.

+ **Highly Organized** – You have time management and organizational skills including prioritizing work and meeting deadlines.
+ **Proactive** – You Investigate and take action to meet customers current and future needs exercising discretion, patience, and professionalism. Work independently with minimal supervision and provide leadership to others.
What else you need to know:
+ **Work Schedule** – Your normal work schedule will be Monday – Friday, 8:00 a.m. to 5:00 p.m. (40 hours per week). Slightly more flexible start and end times are available in this role. You may be required to work any and all assigned shifts, including weekends and holidays.
+ **Work Environment** - This work will take place in a hybrid/in-office setting at Management’s discretion.
+ **Washington State Residency Requirement** – Employees must establish a residence in Washington state within 30 days of their first day of employment and must maintain a residence in Washington State during their employment with the Port of Seattle. If a position is eligible to telework, work performed while teleworking must be performed in Washington State.
+ **Overtime Eligible** – You are eligible for overtime pay in this role.
